Creating timecards
This topic guides you on how to create a new Timecard. For a quick introduction and lifecycle of Resource Management, see Resource Management Overview.
These operations can be performed by Resource Contributors, Resource Managers, and Resource Masters.
To create a new timecard
- A timecard can be created from two sources:
- Log in to the Portfolio Management application, go to User > Log Timecards and click New.
- Log in to the Smart IT application and access an incident/ task/ work order/ change request. On the details page of the record, go to Timecard Dashboard and click New.
On the Log Timecard page, enter the valid details for the following fields:

Date (Single Create)
Choose the date for which you want to create the timecard.
Template
Timecards can also be created via a template. Choose a template from the dropdown, if required. For more information, see the Managing-my-timecard-templates-console.
Resource Assignment
Choose the resource assignment you want to associate the timecard with.
To associate a resource assignment:
- Click the associate button next to the resource assignment field. This button will be enabled only if a date is entered in the Date field.
- This opens a blade having a list of resource assignments. The list will only show the assignments available for the user (timecard submitter) on the selected date.
This means that the date selected for the timecard should be within the start and end dates of the resource assignment.
Note - If the selected assignment is of a Project, you will get a field to specify the task the you worked on.
Start Time
Put the Start Time of the working day. This field is optional and can be configured to be hidden or displayed. For more information, see Timecard General Configurations.
End Time
Put End Time of the working day. This field is optional and can be configured to be hidden or displayed. For more information, see Timecard General Configurations.
Hours
Put the number of hours worked on the selected resource assignment on the selected date.
The Hours field can be calculated automatically by entering the Start Time and End Time fields and clicking on the Calculate Hours button. The Calculate Hours button calculates and pre-fills the Hours field. However, it can be than further modified by the user.
Break (h)
Mention the number of Break hours taken during the day. This field is optional and can be configured to be hidden or displayed. For more information, see Timecard General Configurations.
Comment
Comments about the work done on the selected date.
- Click Save to create a new timecard in Draft status. You may also click Submit to submit the timecard for approval.
Unlike the above process, where you can create only one timecard (for one particular date) at a time, here is another feature, Create Multiple Timecards, that allows users to create several timecards within a certain timeframe. All new timecards will have different dates (as per the duration mentioned) but the same assignment and the number of hours. The system identifies the working days of the user based on the Allocated Working Hours and does not create timecards for non-working days, like weekends.
To create multiple timecards
- Multiple timecards can be created from two sources: Portfolio Management application and Smart IT:
- Log in to the Portfolio Management application, go to User > Log Timecards and click Create Multiple Timecards.
- Log in to the Smart IT application and access an incident/ task/ work order/ change request. On the details page of the record, go to Timecard Dashboard and click Create Multiple Timecards.
On the Log Timecard page, enter the valid details for the following fields:

Start Date
Select the start date of the time duration for which you want to create timecards.
End Date
Select the end date of the time duration for which you want to create timecards.
Template
Timecards can also be created via a template. Choose a template from the dropdown, if required. For more information, see the Managing-my-timecard-templates-console.
Resource Assignment
Choose the resource assignment you want to associate the timecards with.
To associate a resource assignment:
- Click the associate button next to the resource assignment field. This button will be enabled only ones the dates are specified in the Start Date and End Date fields.
- This opens a blade having a list of resource assignments. The list will only show the assignments available for the user (timecard submitter) on the selected time duration.
This means that the time duration selected for the timecard should be within the start and end dates of the resource assignment.
Start Time

Hours
