Viewing and updating resource requests


The following users can access and view a resource request:

  • Resource Manager, the creator of the resource request
  • Resource Masters 
  • Resource Managers of the resource group selected for the resource request. 
  • Depending on the related entity, the following users can also access and view a resource request:   

    Entity

    Idea

    Idea Manager assigned to the idea, Portfolio Manager of the portfolio, and Portfolio Master. 

    Demand

    Demand Manager assigned to the demand, Portfolio Manager of the portfolio, and Portfolio Master. 

    Requirement

    Portfolio Manager of the portfolio and Portfolio Master. 

    Project

    Project Manager of the project, Project Masters, users with additional access to the project, Portfolio Manager of the portfolio, and Portfolio Masters.

    Sprint

    Sprint manager of the sprint, Project Manager of the parent agile project, Project Masters, users with additional access to the parent agile project, Portfolio Manager of the portfolio, and Portfolio Masters.

    Phase

    Phase manager of the phase, Project Manager of the parent phased project, Project Masters, users with additional access to the parent phased project, Portfolio Manager of the portfolio, and Portfolio Masters.

    Task

    Task users assigned to the task, Project Manager of the parent project, Project Masters, users with additional access in the parent project, Portfolio Manager of the portfolio, and Portfolio Masters.

    External entity

    User assignee of the external entity.

Next users can modify a resource request: Resource Manager who creates the resource request, Resource Masters, and depending on the related entity: Idea Manager of the idea, Demand Manager of the demand, Project Manager of the project and users with additional write access in the project, task user assignee of the task, Portfolio Manager of the portfolio, Portfolio Masters, or entity user assignee of the external entity.

To update a resource request

  1. Open the resource request. A resource request can be accessed from two sources:
    • In Portfolio Management application:
      • Log in to the Portfolio Management application.
      • Navigate to Workspace > Resource Requests.
      • Click the required request ID.
    • In Smart IT application:
      • Log in to the Smart IT application and access an incident/ task/ work order/ change request.
      • In the edit view, click Manage Resources. The console shows the details of the entity along with the related resource requests and resource assignments in the form of grids.
      • Click on the required request ID.
  2. On the resource request details page, click Edit, and perform any of the following actions:

    Change the basic resource request details

    Update basic details of a resource request:

    • Request Summary
    • Description
    • Attachments

    Change the general resource request details

    General details of a resource request:

    • Request Type
    • Scope
    • Priority
    • Resource Region
    • Delivery Region
    • Assignment Type Preference

    Change information resource request details

    Resource information:

    • Resource Group
    • Estimated no. of Resources

    Change timeline resource request details

    Update values related with the timeline:

    • Start Date
    • End Date
    • Make Recurring
  3. Click Save to apply the changes.

Header functions

Upon opening a resource request, you can also view functions (buttons) related to the resource request.

The following table describes the resource request functionalities that you can view for your reference: 

Header button

Purpose

Next

Clicking Next changes the status of the resource request and move the request to the succeeding status. See Changing-resource-request-statuses.

Cancel Request

Clicking Cancel Request changes the status of the resource request and move the request to the Cancelled status. This button is active only in the Draft and Plan/ Prepare statuses. See Changing-resource-request-statuses.

Other resource request tabs

Other than the details of the resource request a resource manager can also view the Requested Qualifications tab and the Assignments tab. The Requested Qualifications tab is available in all statuses but the addition of the requested qualification is possible only in the Draft and Plan/ Prepare statuses. The Assignments tab is visible only in the Approved, Completed, and Cancelled statuses; assignments can be added in the Approved status only.

The following table describes the resource requests tabs that you can view for your reference:

Resource Request Tab

Purpose

Requested Qualification 

The Requested Qualifications tab is available in all statuses but the addition/ removal of the requested qualification is possible only in the Draft and Plan/ Prepare statuses. 

In this tab, a resource requester can request the Qualifications that are required by the assigned resource.

It is not mandatory to add a requested qualification to a resource request.

To request qualifications, refer to Requested-qualifications.

Assignments

The Assignments tab is visible only in the Approved, Completed, and Cancelled statuses.

Assignments can be added in the Approved status only.

In the case of individual type resource requests, assignments have to be created manually. While in the case of group-type resource requests, an assignment is created automatically upon approval.

Activities

The Activities tab on the resource request details page displays activities and history of the changes that the resource requester, portfolio assignee, entity assignees, and project managers with additional access to the associated project, for more details on the users and roles refer to Resource-Management-Overview.
