Viewing and updating task details


Different users can access and view a task in a project: the Portfolio Manager creator of the project, the Project Manager assigned to the project, Task Users members of Teams of the project, the Portfolio/Program Manager assigned to the parent portfolio/program of the project, Project Masters, Portfolio Masters and Project Managers granted additional accesses in the project.

Task Users members of the teams of the project, the Project manager assigned to the project, the Portfolio/Program Manager of the parent portfolio/program, Project Masters, Portfolio Masters and Project Managers granted 'Write' additional access, can edit the tasks within the project.

To update a task

  1. Log in to the Portfolio Management application
  2. Open the task where you want to modify it, in different ways:
    1. Navigate to Workspaces > Projects and open a project on the Projects workspace by clicking the required project ID.
      • If the task is related to a sprint or phase, go to the Sprints or Phases tab and click the required sprint ID or phase ID. On the sprint or phase page, go to the Tasks tab and click the required task ID.
      • Otherwise, go to the Tasks in the Backlog tab or Global Tasks tab, and click the required task ID.
    2. Navigate to Workspaces > Project Tasks and open the task on the Project Tasks workspace by clicking the required task ID.
  3. On the task details page, click Edit, and perform any of the following actions:

    Change the details of the basic task

    Task users members of teams, project managers and portfolio/program managers can update basic details of the task:

    • Summary.
    • Description.
    • Priority.
    • Start Date.
    • End Date.
    • Story Points if the agile project.
    • Estimated Effort.
    • Actual Effort.
    • Required Skill.
    • Progress.

    Assign or reassign the task

    Task users members of teams, project managers and portfolio/program managers can assign or reassign the Team and person responsible to complete the task.

    • Assigned Team.
    • Assigned Person, available once Team is selected.

    NOTE: any task user member of the teams of the project can access and update all tasks of the project.

  4. Click Save to apply the changes.

Header functions

Opening a task, you can also view functions (bottoms) related to the task in the header.

Purpose

Relate to Sprint

The project manager assigned and portfolio/program manager can relate the task in 'Backlog' status to a sprint in an Agile project. See Relating-tasks-to-a-sprint-or-a-phase-and-unrelating.

Relate to Phase

The project manager assigned and portfolio/program manager can relate the task in 'Backlog' status to a phase in a Phased project. See Relating-tasks-to-a-sprint-or-a-phase-and-unrelating.

Unrelate from Sprint

The project manager assigned and portfolio/program manager can unrelate the task related to a sprint and move to 'Backlog' status. See Relating-tasks-to-a-sprint-or-a-phase-and-unrelating.

Unrelate from Phase

The project manager assigned and portfolio/program manager can unrelate the task related to a phase and move to 'Backlog' status. See Relating-tasks-to-a-sprint-or-a-phase-and-unrelating.

Move to Backlog

The project manager assigned and portfolio/program manager can move to the 'Backlog' status of the global task. See Moving to backlog as a global task.

Create Requirement

The project manager assigned and the portfolio/program manager can create a requirement from a project task. Refer to Requirement Submitting from the task.

Kanban

Task users members of teams of the project, project manager assigned and portfolio/program manager can open the Kanban board from the parent task to manage the flow of the subtasks. See Kanban-Boards.

Transform to Subtask

The project manager assigned and the portfolio/program manager can transform the task into a subtask. See Transforming a task to a subtask.

Resources

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details refer to Configure-source-entity-type.

Clicking on this button will open up a blade that shows all the resource requests and resource assignments that are related to this idea. This blade also has a button to directly create a resource request related to this idea.

Timecards

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details refer to Configure-source-entity-type.

Clicking on this button will open up a blade that will allow the logged-in user to create a timecard.

Other task tabs

Other than the basics you can also view certain tabs that provide more information about the task. Task users can use this information to work on the task.

The following table describes the task tabs that you can view for your reference:

Project tab

Purpose

Subtasks

List of the subtasks related to the task. The subtasks tab is not visible if the task is a subtask, i.e., the task is related to parent tasks.

To create a new subtask in the task, see Creating-subtasks.

Predecessors and Successors

List of the predecessor tasks of the task, i.e. tasks has to be completed before starting the implementation of the task.

List of the successor tasks of the task, i.e., tasks have to start the implementation only when the task is completed.

The predecessors and Successors tab is not available for tasks in 'Backlog' status.

Activities

The Activities tab on the task details page displays activities and the history of the changes that task users and project managers have made in the demand.

Related

Task users are members of teams of the project manager assigned and the portfolio manager can attach files to a task and view a consolidated list of all the documents added.
