Changing project statuses


When a new project is created, by default, its status is set to Draft and only the portfolio manager creator of the project can access the project. Once the project is moved to the Plan/Prepare status, the Project Manager of the project, Portfolio/Program Manager of the parent portfolio/program, Project Masters, Portfolio Masters and Project Managers with additional access to the project, can move it to different statuses throughout its lifecycle.

To change a project status

  1. Log in to the Portfolio Management application.
  2. Navigate to Workspace > Projects.
  3. To open a project on the Projects workspace, click the required project ID.
  4. On the project details page, click Edit.
  5. Select the required value in the Status field. The following table lists the required status change based on actions you can perform on a project:

    Draft


    The project is considered feasible and necessary by the portfolio manager, and a project manager is appointed.

    Plan/Prepare

    The project manager assigned to the project wants to cancel the project.

    Cancelled

    Plan/Prepare


    The individual sprints, phases and tasks have been identified, scheduled and assigned by the project manager.

    Task users can start the implementation of the tasks that are assigned to them:

    • For Agile projects, the project manager updates sprints to In progress status. 
    • For Phased projects, the initial phase status is Staged which is changed to Active automatically.

    In Progress

    The project manager assigned to the project wants to put the project on hold. 

    All sprints, phases and tasks will go on hold automatically when the project is on hold.

    On Hold

    The project manager assigned to the project wants to cancel the project.

    All sprints, phases and tasks are cancelled automatically when the project is cancelled.

    Cancelled

    In Progress

    The project manager assigned verifies that all sprints or phases and tasks have been completed. 

    Completed status requires a Status Reason: Failed or Successful.

    Completed

    The project manager assigned to the project wants to put the project on hold. 

    All sprints, phases and tasks will go on hold automatically when the project is on hold.

    On Hold

    The project manager assigned to the project wants to cancel the project.

    All sprints, phases and tasks are cancelled automatically when the project is cancelled.

    Cancelled

    On Hold

    The project manager assigned to the project wants to resume the project kept on hold. 

    All sprints, phases and tasks will resume automatically when the project.

    In Progress

    The project manager assigned to the project wants to cancel the project.

    All sprints, phases and tasks are cancelled automatically when the project is cancelled.

  6. Click Save
