Configuring Skills


The Manage Skills console contains the list of Skills and provides functionality to add, remove or modify the Skills. This console is accessible by the user with the Resource Manager role. 

A Skill represents the lowest level within the skill management hierarchy. A Skill Area Group can have multiple Skill Areas which can have multiple Skills within them. 

Every Skill has an associated Skill Area and Skill Area Group which is further associated with the Resource Group. The manager of that Resource Group stays responsible for managing the Skill along with the Skill Area and Skill Area Group. 

To access the Manage Skills console

  1. Log in to the Portfolio Management application and click SettingsGear.PNG.
  2. Select Resource Management > Competencies > Skill. The console will have the list of Skills. 
  3. Click Managed by me, if you are a Resource Manager and want to see the Skills that are associated with the Skill Areas that are managed by you. 
  4. Click All, to view all the skills.

To Create a Skill

  1. Log in to the Portfolio Management application and click Settings Gear.PNG.
  2. Select Resource Management > Competencies > Skill.
  3. Click +New to add a new skill.  

    Field

    Description

    Skill Area Group 

    Select one of the Skill Area Groups from the list. The dropdown shows all the active Skill Area Groups.

    Skill Area

    Select one of the Skill Areas from the list. The list shows all the active skill areas under the Skill Area Group selected in the above field.

    Skill

    Add the name of the Skill.

    Click Localize and fill in the name in the Default locale field. 

    Description 

    Provide details about the skill. 

    Managed 

    The field has two options namely, Yes and No.

    Yes—if you want the skills to be a managed skill

    No—If you do not want the skill to be a managed skills

    Unit

    The options for this field: Day, Hour, Item, and Service.

    Cost Per Unit

    Specify the cost of the resource with that skill.

    Selling Price Per Unit 

    Specify the selling price of the resource with that skill.

    Status

    The status field has three options namely, Draft, Active and Obsolete.

    By default, the status stays Draft during the creation of a Skill. 

    • To use this skill, you need to edit the saved skill and change its status to Active. For more information, see To Modify/Edit a Skill.
    • To obsolete or restrict the use of the created Skill, you need to Edit the saved Skill and change the status to Obsolete. For more information, see To Modify/Edit a Skill.

    4. Click Save.

To Modify/Edit a Skill

  1. Log in to the Portfolio Management application and click SettingsGear.PNG.
  2. Select Resource Management > Competencies > Skill.
  3. Click on the name of the Skill or select the row and click on the Edit (edit-icon-3.pngbutton. This will show you the details that you provided while creating the Skill and additional tabs to configure relevant details.
  4. Follow the instructions in the below table to modify the Skill.

    To edit the details provided while creating the Skill 

    1. In the Edit Skill blade, go to the General tab.
    2. Change the details and status as per the requirement and click Save. 

    To add Resource Groups relevant to the Skill  

    1. In the Edit Skill blade, go to the Relevance to Resource Groups tab. 
    2. Click +Add Resource Group. This will open the list of Resource Groups in the application.
    3. Select one or more Resource Groups from the checkbox and click Select.

    Important: 

    • This functionality is added to filter out the details related to Skills, Resources and Resource Groups with ease and make the search relevant and productive. For more information, see Managing Competency Search.
    • The Resource Groups added to the Relevance to Resource Groups tab of the Skill will automatically reflect the Skill in the Relevant Skills tab of all those Resource Groups.  
    • Here you can only relate or remove the relevant Resource Groups with the Skill but can not create or delete the Resource Groups. The creation and deletion of Resource Groups can only be done in the Resource Group section.

    To add Courses relevant to the Skill  

    1. In the Edit Skill blade, go to the Related Courses tab.  
    2. Click +Relate Course. This will open the list of Courses in the application.
    3. Select one or more Courses from the checkbox and click Select.

    Important:

    • This functionality is added to filter out the details related to Skills, Resources and Courses with ease and make the search relevant and productive. For more information, see Managing Competency Search
    • Here you can only relate or remove the relevant Courses with the Skill but can not create or delete the Courses. The creation and deletion of Courses can only be done in the Course section. 

    To add Certificates relevant to the Skill  

    1. In the Edit Skill blade, go to the Related Certificates tab.  
    2. Click +Relate Certificate. This will open the list of Certificates in the application.
    3. Select one or more Certificates from the checkbox and click Select

    Important:

    • This functionality is added to filter out the details related to Skills, Resources and Certificates with ease and make the search relevant and productive. For more information, see Managing Competency Search
    • Here you can only relate or remove the relevant certificates with the Skill but can not create or delete the Certificates. The creation and deletion of Certificates can only be done in the Certificate section. 
  5. Click Save

To Delete a Skill

  1. Log in to the Portfolio Management application and click SettingsGear.PNG.
  2. Select Resource Management > Competencies > Skill.
  3. Select the Skill and click Delete.  

Important

Only those Skill records can be deleted that are not already used for any resource or as a required skill in the application, for example, in resource requests or tasks.

 

Tip: For faster searching, add an asterisk to the end of your partial query. Example: cert*
