Changing resource request statuses


When a new resource request is created, by default, its status is set to Draft.

Resource Manager who creates the resource request, Resource Masters, and depending on the related entity: Idea Manager of the idea, Demand Manager of the demand, Project Manager of the project and users with additional write access in the project, task user assgnee of the task, Portfolio Manager of the portfolio, Portfolio Masters, or entity user assignee of the external entity, can move it to different statuses throughout its lifecycle.

To change a resource request status

  1. Open the resource request, you can access to the resource request from two sources:
    1. Log in to the Agility Suite application. Navigate to Workspace > Resource Requests and click the required request ID.
    2. Log in to the Smart IT application, and access an incident/ task/ work order/ change request. From the edit view that is opened click the Manage Resources button. The console shows the details of the entity along with the related resource requests and resource assignments in the form of grids. Click on the request id from the grid of resource requests.
  2. On the resource request details page, click Next buttom. The following table lists the required status change based on actions you can perform on a resource request: 

    From status

    Change to status

    Draft


    Resource manager have added the necessary details to the resource request.

    Resource manager starts detailed planning of resources and wants to add qualifications.

    Plan/Prepare

    Plan/Prepare


    Resource manager has completed planning stage and qualifications have been added.

    Request is ready to send for approval to the approvers of the resource group.

    Waiting for Approval

    Approved

    Resource manager considers that resource request is completed and resource assignments are completed.

    If there are resource assignments opened then they are completed automatically. 

    Completed

To cancel a resource request

Only resource requests with status Draft or Plan/Prepare can be cancelled.

  1. Open the resource request, you can access to the resource request from two sources:
    1. Log in to the Agility Suite application. Navigate to Workspace > Resource Requests and click the required request ID.
    2. Log in to the Smart IT application, and access an incident/ task/ work order/ change request. From the edit view that is opened click the Manage Resources button. The console shows the details of the entity along with the related resource requests and resource assignments in the form of grids. Click on the request id from the grid of resource requests.
  2. On the resource request details page, click Cancel buttom. 
  3. The confirmation dialogue window is shown, click Yes.
