Changing resource assignment statuses


When a new resource assignment is created, by default, its status is set to Draft.

Resource Manager creator of the parent resource request, Resource Masters, and depending on the related entity of the parent resource request: Idea Manager of the idea, Demand Manager of the demand, Project Manager of the project and users with additional write access in the project, task user assgnee of the task, Portfolio Manager of the portfolio, Portfolio Masters, or entity user assignee of the external entity, can move the resource assignment to different statuses throughout its lifecycle.

To change a resource assignment status

  1. Open the resource assignment. A resource request can be accessed from two sources: 
    • Log in to the Portfolio Management application. Navigate to Workspace > Resource Assignments and click the required assignment Id.
    • Log in to the Smart IT application and access an incident/ task/ work order/ change request. From the edit view that is opened click the Manage Resources button. The console shows the details of the entity along with the related resource requests and resource assignments in the form of grids. Select the resource request from the grid of resource requests and click on the resource assignment ID from the grid of resource assignments.
  2. On the resource assignment details page, click NextThe following table lists the required status change based on actions you can perform on a resource request:

    The Resource Manager has entered details such as the assigned resource or resource group, the timeline of the assignment, the assigned hours, and so on, in the resource assignments.

    The resource assignment is ready to create and manage the planned hours.

    Assigned Resource user or users s members of the resource group can start to log timecards with the resource assignment.

    The resource contributors can no longer be able to log their timecards on the resource assignment.

To cancel a resource assignment

  1. Open the resource assignment. A resource request can be accessed from two sources: 
    • Log in to the Portfolio Management application. Navigate to Workspace > Resource Assignments and click the required assignment Id.
    • Log in to the Smart IT application and access an incident/ task/ work order/ change request. From the edit view that is opened click the Manage Resources button. The console shows the details of the entity along with the related resource requests and resource assignments in the form of grids. Select the resource request from the grid of resource requests and click on the resource assignment ID from the grid of resource assignments.
  2. On the resource assignment details page, click Cancel button.
  3. The confirmation dialogue window is shown, click Yes.
