Project Status Reporting
A project status report is a document that summarizes a project's overall progress against the projected project plan.
The goal of a project status report is to keep all stakeholders informed of progress at regular intervals, mitigate issues before they arise, and ensure that the project will land within the designated time frame.
These regular reports can be performed by the Project Manager of the project, Portfolio/Program Manager of the parent portfolio/program, Project Masters, Portfolio Masters and Project Managers with write additional access to the project.
To create a new project status report
- Log in to the Portfolio Management application
- Navigate to Workspaces > Projects.
- To open a project on the Projects workspace, click the required agile project ID.
- On the project header page, click 'Project Status' bottom.
- On the blade page Project - Status Report, click 'New Status Report'.
- Enter the values for the following fields: - Field - Description - Summary - Enter a Summary of the Report which can describe the purpose behind this Report. - Version - Values: Actual, Draft, Historical There can be only 1 status report with Version ”Actual”. If any other project status report is set to Actual, the current Actual is set to Historical. - Number of Team Resources - This field represents the total number of project team members. (Default value is 0) - RAG Status - Values: NA(Not Applicable), Red, Amber, Green Displays the Overall status of the Project. RAG Status for the “Actual” Status report is displayed on the Project Edit view. - RAG Status Date - The date on which the RAG status for a particular project was recorded. - This field displays the RAG Status Date on the Project Edit view for the “Actual” status report, besides the RAG Status. It will display the creation date of the Project if there is no status report associated with a particular project. - Issues - Describe the Issues in more detail. - This is a special type of field which supports basic formatting, images, tables, and hyperlink. - Risks - Describe the Risks in more detail. - This is a special type of field which supports basic formatting, images, tables, and hyperlink. - Metrics - Describe the Metrics in more detail. - This is a special type of field which supports basic formatting, images, tables, and hyperlink. - Project Stakeholder - Project Sponsor / Project Manager Can be anyone in the organization. May not have access to the project directly. This user may or may not be the Project Manager. - Phase/Milestone - Status - Values are NA, Red, Amber, and Green Depending on the Effort, Cost, and Completion of the project. - Phase/Milestone - Comment - Summary or additional details related to Phase/Milestone of the Project. - Completion - Status - Values are: NA, Red, Amber, Green - Depends on the Planned and Completed %. - Completion - Planned % - Percentage of the Project estimated or planned to be completed within the duration or set milestone. - Completion - Actual % - Percentage of the Project actually undertaken based on the Planned Percentage. - Completion - Comment - Summary or additional details related to the Project Completion activities. - Effort - Status - Values are: NA, Red, Amber, Green - Depends on the Estimated and Actual %. - Effort - Estimated(h) - Overall estimated Effort for all the Tasks within a particular Phase/Milestone. - Effort - Actual(h) - Total Effort spent on all the Tasks within a particular Phase/Milestone. - Effort - Comment - Summary or additional details related to the Efforts spent on tasks and overall Project. - Cost - Status - Values are: NA, Red, Amber, Green - Depends on the Estimated and Actual %. - Cost - Estimated - Overall estimated Cost within a particular Phase/Milestone. - Cost - Actual - Actual Cost involved within a particular Phase/Milestone. - Cost - Comment - Summary or additional details related to the Project Costing. - Attachments - Can associate attachments, and videos for more information on status reports. 
- Click Save.
To edit a project status report
- Log in to the Portfolio Management application
- Navigate to Workspaces > Projects.
- To open a project on the Projects workspace, click the required agile project ID.
- On the project header page, click the 'Project Status' button.
- On the blade page Project - Status Report, click the required project status report ID.
- On the project status details page, click Edit,
- Apply changes in the project status report fields.
- Click Save.
To create a new draft project status report copying from a previous report
- Log in to the Portfolio Management application
- Navigate to Workspaces > Projects.
- To open a project on the Projects workspace, click the required agile project ID.
- On the project header page, click the 'Project Status' button.
- On the blade page Project - Status Report, select the project status report that you want to do a draft copy from the list and click the 'Copy to Draft' button.
- A new project status report is created with version 'Draft'.
To delete a project status report
You can only delete project status reports in the 'Draft' version.
- Log in to the Portfolio Management application
- Navigate to Workspaces > Projects.
- To open a project on the Projects workspace, click the required agile project ID.
- On the project header page, click the 'Project Status' button.
- On the blade page Project - Status Report, select the draft project status report that you want to delete and click the 'Delete' button.
