Creating tasks in backlog


This topic guides you on how to create new Tasks in the Backlog of the project. For a quick introduction and the life cycle of the task, you can refer to Project-Management-Overview.

These operations can be performed by the Project Manager of the project, the Portfolio/Program Manager of the parent portfolio/program, Project Masters, Portfolio Masters and Project Managers with write additional access to the project..

Tasks User cannot create and access Tasks in Backlog status.

To create a new task in the Backlog of the project

  1. Log in to the Portfolio Management application
  2. Navigate to Workspaces > Projects.
  3. To open a project on the Projects workspace, click the required project ID.
  4. Go to Tasks in the Backlog tab and click the New Task button.
  5. On the create task blade page, enter the values for the following fields: 

    Field Labels

    Description

    Summary 

    Enter a short summary of the task which describes the objective. 

    Priority 

    Critical, High, Medium, Low. 

    Create Requirement 

    Yes, No. If 'Yes' means a new requirement is created in the portfolio/program related to the new task automatically. 

    Estimated Effort (h) 

    A rough estimation is required for its completion. 

    Actual Effort (h) 

    The actual time that is taken to complete the task by the assignee.

    Required Skill

    Select the skill required to complete the task, application Admin can configure skill values: Configuring-skill-area.

    Start Date

    Estimated start date of the task. The start date has to be after the start date of the project. By default, the field contains the start date of the project.

    End Date

    Estimated end date of the task. The end date has to be before the end date of the project. By default, the field contains the end date of the project. 

    Team Assigned

    Team assignee who works on this task.

    Description

    This is a special type of field which supports basic formatting, images, tables, and hyperlink. Enter details of the task.

    Attachments

    Add attachments which can have details on the task.

  6. Click Save. The new task is created in Backlog status. You can see the new task in the list 'Tasks in Backlog' tab.

To create a new task using a template in the Backlog of the project

  1. Log in to the Portfolio Management application
  2. Navigate to Workspaces > Projects.
  3. To open a project on the Projects workspace, click the required project ID.
  4. Go to Tasks in the Backlog tab and click the New Task button.
  5. On the create task blade page, click Select Template.
  6. On the Select Task Template page, there is a list of the available tasks templates, select a task template from the list and click Select.
  7. Enter and review the values (some of them are copied from the template) for the following fields: 

    Field Labels

    Description

    Template

    Name of the task template applied, you cannot modify this field.

    Summary 

    Summary copied from a template.

    Priority 

    Priority copied from a template.

    Create Requirement 

    Yes, No. If 'Yes' means a new requirement is created in the portfolio related to the new task automatically.

    Estimated Effort (h) 

    Estimated effort copied from a template.

    Actual Effort (h) 

    How much time does it take to complete the task?

    Required Skill

    Skill copied from a template.

    Start Date

    Estimated start date of the task. The start date has to be after the start date of the project. By default, the field contains the start date of the project.

    End Date

    Once the start date is filled, the end date is populated automatically in order to the Duration from the template and start date.

    Team Assigned

    Team assignee who works on this task.

    Description

    Description copied from a template.

    Attachments

    Add attachments which can have details on the task.

  8. Click Save. The new task is created in 'Backlog' status. You can see the new task in the list 'Tasks in Backlog' tab.

Subtasks have been created and related to the new tasks automatically from subtasks templates related to the task template applied.
