Viewing and updating phase details


The users who can access and view a phase in a project are: the Portfolio Manager creator of the project, the Project Manager assigned to the project, Task Users members of Teams of the project, the Portfolio/Program Manager assigned to the parent portfolio/program of the project, Project Masters, Portfolio Masters and Project Managers granted additional accesses in the project.

The Project Manager assigned to the project, the Portfolio/Program Manager of the parent portfolio/program, Project Masters, Portfolio Masters and Project Managers granted 'Write' additional access, can edit the phases within the Phased project.

To update a phase

  1. Log in to the Portfolio Management application
  2. Navigate to Workspaces > Projects.
  3. To open a Phased project on the Projects workspace, click the required project ID.
  4. On the project details page, go to the Phases tab and click the required phase ID.
  5. On the phase details page, click Edit, and perform any of the following actions:

    Change the basic phase details

    The project manager assigned and the portfolio/program manager can update basic details of the phase:

    • Summary.
    • Description.
    • Priority.
    • Start Date.
    • End Date.
    • Progress.
    • Automatic Done, if the 'Yes' phase is moved to 'Done' status automatically when all tasks are completed. 

    Assign or reassign the phase manager

    The project manager and portfolio/program manager can assign or reassign a task user responsible for tracking the implementation of the tasks in the phase.

    • Click the Associate button next to the Phase Manager field.
    • A blade window is opened with a list of teams for the project. Select a team and then select a task user and click Select.
  6. Click Save to apply the changes.

Header functions

Opening a phase, you can also view functions (bottoms) related to the phase in the header.

Purpose

Kanban

The project manager assigned and portfolio/program manager can open the Kanban board from phase to manage the flow of the tasks. See Kanban Boards.

Resources

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details refer to Configure-source-entity-type.

Clicking on this button will open up a blade that shows all the resource requests and resource assignments that are related to this idea. This blade also has a button to directly create a resource request related to this idea.

Timecards

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details refer to Configure-source-entity-type.

Clicking on this button will open up a blade that will allow the logged-in user to create a timecard.

Other phase tabs

Other than the basics you can also view certain tabs that provide more information about the phase. The project manager can use this information to work on the phase.

List of the tasks related to the phase.

Activities

The Activities tab on the phase details page displays activities and the history of the changes that the project manager and portfolio/program manager have made in the phase.

Related

The project manager assigned and portfolio/program manager can attach files to the phase and view a consolidated list of all the documents added.
