Creating resource assignment


This topic guides you on how to create a new Resource Assignment. For a quick introduction and lifecycle of Resource Management, refer to Resource Management Overview.

The following users can perform the operation:

  • Resource Manager, the creator of the parent resource request
  • Resource Masters
  • Also, the Idea Managers, Demand Managers, Project Managers, Project Masters, Portfolio Managers and Portfolio Masters, provided they have the additional role of Resource Manager or Master. 

To create a new resource assignment

  1. Log in to the Portfolio Management application.
  2. Go to the Workspace > Resource Requests. 
  3. Click the required Request ID to view the details of the resource request. Make sure the resource request is in "Approved" status.
  4. Go to the Assignment Tab and click +New Assignment.
  5. On the Create Assignment page, enter the valid details for the following fields:

    Field Labels

    Description

    Assigned Resource

    Click the Associate button, and select the resource for whom you are creating this assignment.

    Description

    Enter details of the objective, and goal that is fulfilled by addressing this assignment. 

    This is a special type of field that supports basic formatting, images, tables, and hyperlinks.

    Main Skill

    Click Select to open the dropdown or go to Advance Search for easy filtration of the skills. 

    Assignment Type 

    Type of Assignment: Full-Time, Part-Time, or On-Demand.

    The assignment type impacts the planning for the resource. This planning is dependent on both the assignment type and the type defined on the resource request (i.e. Individual and Group)

    Full-Time

    • Individual: Planned Hours are created for the hours allocated in the Allocated Working Hours of the assigned resource, throughout the timeline of the assignment
    • Group: Planned Hours are created with 0 hours throughout the timeline of the assignment so that the members of the resource group are planned.

    Part-Time

    • Individual: The assigned hours on the resource assignment are divided throughout the timeline of the assignment to create the Planned Hours.
    • Group: A Group-type resource assignment of the type Part-Time is not allowed in the system.

    On-Demand

    • Individual: Planned Hours are created automatically when a timecard submitted by the assigned resource is approved.
    • Group: Planned Hours are created automatically when a timecard submitted by any of the members of the resource group is approved. 

    Allow Time Tracking

    Allow Time Tracking: Yes or NoSetting Allow Time Tracking to Yes allows the assigned resource to submit timecards against it. 

    Allow Overbooking

    Allow Overbooking: Yes or No

    If Allow Overbooking is set to Yes the planned hours for the assigned resource can exceed the tracked hours.

    Billable

    Billable: Yes or No

    Assigned Hours

    Hours that are required to fulfill this assignment, these hours will be assigned to the resource.

    Start Date

    Start date of the assignment.

    End Date 

    End date of the assignment.

    Attachments

    You can associate any document which can be helpful in fulfilling the assignment.

  6. Click Save. The new request is created and opened in Draft status.
