Viewing and updating portfolio details


Only the Portfolio Manager of the portfolio and Portfolio Masters can edit the portfolio details.

To update a portfolio

  1. Log in to the Portfolio Management application.
  2. Navigate to Portfolios and click one of the following categories:
    • Business 
    • Application Portfolio. 
  3. To open a portfolio on the Portfolios workspace, click the required portfolio ID.
  4. On the portfolio details page, click Edit, and perform the required actions as defined below:

    Change the basic portfolio details

    The assigned portfolio manager can update basic details of the portfolio:

    • Summary
    • Description
    • Attachments
    • Primary and Secondary Labels
    • Status 
    • IT Service
    • Status Reason 
    • Idea Review Threshold
    • Scope
    • Total Budget
    • Visible in Digital Workplace

    Assign portfolio manager

    The creator of the portfolio, by default becomes the portfolio manager for the portfolio. But they can reassign the portfolio to another portfolio manager:

    • Click the Associate button next to the 'project manager' field. A blade window will open with a list of portfolio managers.
    • Select the new portfolio manager and click Select.

    Important: Upon assigning, the assigned portfolio manager gets a notification. For more details, see Notification Matrix

     

  5. Click Save to apply the changes.

Header functions

Opening a portfolio, you can also view functions (bottoms) related to the portfolio in the header.

The following table describes the portfolio functionalities that you can view for your reference: 

Header bottom

Purpose

Resources

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details, refer to Configure Source Entity Type.

Clicking on this button will open up a blade that shows all the resource requests and resource assignments that are related to this idea. This blade also has a button to directly create a resource request related to this idea.

Labels

This button is accessible to users who have the role of Portfolio Masters or are Portfolio Manager for the current Portfolio. 

Single click on this button will open up a blade that shows all the labels created within the current portfolio. The accessor can create a new label for the current portfolio by clicking on +Custom Label

Timecards

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details refer to Configure Source Entity Type.

Clicking on this button will open up a blade that will allow the logged-in user to create a timecard.

Standard and Financial tabs

Portfolio page offers two distinct views to help users manage and analyze Portfolio data effectively:
Standard View
The default view of a Portfolio, providing tabs for accessing associated elements such as: Programs, Projects, Demands, Requirements, Ideas, Resource Requests and IT Tickets.

Financial View
Providing tabs to analyse the financial aspects of the Portfolio, such as: Financial Summary, Transactions, Positions and Datasets.

Standard portfolio tabs

In addition to the general Portfolio details, users can also view all associated records that fall under the Portfolio’s structure. Users can access tabs for Programs, Projects, Demands, Requirements, and other linked root objects to explore and manage the complete set of work items grouped within the Portfolio.

Portfolio tab

Purpose

Programs 

List of programs related to the portfolio.

To create a new program in the portfolio, see Creating programs.

Projects

List of projects related to the portfolio.

To create a new project in the portfolio, see Creating-projects.

To open and view a project, see Viewing-and-updating-project-details.

Requirements

List of requirements related to the portfolio.

To create new requirements related to the portfolio, see Creating-requirements.

Here you can find requirements created by ideas related to the portfolio.

Demands

List of demands related to the portfolio.

To create new demand in the portfolio, see Creating-demands.

To open and view a demand, see Viewing-and-updating-demand-details.

Ideas

List of ideas that have been related to the portfolio.

To create a new idea directly in the portfolio, see Creating-ideas.

Resource Requests

The resource requests tab shows all the resource requests that are related to the portfolio directly or indirectly (that is, via idea, demand, program, project, sprints, phases, project tasks).

IT Tickets

List of ITSM Tickets related to the IT Service.

Details

You can see the portfolio manager assigned, description and attachments.

Activities

The Activities tab on the portfolio details page displays activities and the history of the changes that the portfolio manager has made in the portfolio.

Related

The portfolio manager can attach files to a portfolio and view a consolidated list of all the documents added. Here you can consult all documents related to Ideas, Demands, Requirements and Projects of the portfolio.

Financial tabs

The Financial View of a Portfolio focuses exclusively on the financial aspects linked to the Portfolio. The view presents tabs for Financial Summary, Transactions, Positions, and Datasets, enabling users to monitor and analyse financial data directly within the context of the Portfolio, providing a consolidated view of its financial performance.

Financial tab

Purpose

Summary 

Displays overall financial data, from the inception of the Portfolio, showing total balances for each Financial Position across different Transaction Scopes.
Transactions

Displays all financial transactions recorded within the Portfolio. Users can view details such as accounts, amounts, periods, the linked root objects and more.

To create a new transaction, see Managing Financial Transaction.

PositionsLists all Financial Positions associated with the Portfolio. It shows the balances for each position, providing a grouped view of financial data based on related accounts.
DatasetsShows all Financial Datasets linked to the Portfolio, including details like financial year, scope, version, and status.
Information

Note:

  • Only those Financial Positions for which Summarization is set to Yes in the Financial Position configuration are visible in the Summary and Positions tabs of the Financial View. For more information, see Configuring Financial Position.
  • The data is auto populated from transactions associated with the Portfolio and its underlying HPM root objects, supporting overall financial analysis of the Portfolio. For more information on financial transactions, see Managing Financial Transaction.
