Managing Financial Transaction


This topic guides you on how users can create or edit financial transactions within the Financial Transaction Recording Console. The defined operations can be performed by users having the Financial Master role within the Portfolio Management app.

To create a new Financial Transaction

  1. Log in to the Portfolio Management application and navigate to Finance > Financial Transaction Recording.
  2. Select the Financial Dataset under which you want to create the transaction. The selected Dataset should be an open one. For locked Datasets the app doesn’t provide the option to create any new transactions.
  3. Select the Period under which you want to create the transaction. Choose from the available range of 14 periods, 00, 01, 02……11, 12, and 99. For an open dataset, there is an option to lock periods; hence, in some cases, the dropdown can have less than 14 periods.
  4. On the Create a new transaction blade, provide the following details:

    Fill in the monetary value of the transaction, or go to the dropdown button next to the Amount field and click Calculate to calculate the amount using the two options defined below.

    • Via Manual Input:
      • Go to the Manual Input tab
      • Fill in the Quantity, Unit, Amount per Unit and Currency fields to calculate the total Amount.
      • Click Apply.
    • Via Skill Selection:
      • Go to the Skill Selection tab.
      • Click Select Skill Price, which will bring you to the Select a Skill Price blade.
      • Select the Skill from the dropdown, and you will see the Business Entities offering the selected Skill with Cost, Currency and Unit details.
      • Choose one of the available Business Entities and click Select.
      • Fill in the Quantity to calculate the total Amount.
      • Click Apply.
    CurrencySelect the type of currency in which the transaction is denominated.
    AccountSelect the financial account where the transaction is logged.
    Contra AccountSelect the corresponding account used to balance the transaction.
    Document DateMention the specific date on which the transaction took place.
    CommentProvide a brief note providing context for the transaction.
    HPM ObjectSelect the HPM Object with which the transaction is associated (if any).
    Cost CenterSelect the Cost Center associated with the transaction.
    Business EntityThis is a non-editable field which auto-populates the values when the Amount field is calculated using Skill Selection.
    QuantityThis is a non-editable field which auto-populates the values when the Amount field is calculated using Manual Input or Skill Selection.
    Amount per unitThis is a non-editable field which auto-populates the values when the Amount field is calculated using Manual Input or Skill Selection.
    SkillThis is a non-editable field which auto-populates the values when the Amount field is calculated using Skill Selection.
    UnitThis is a non-editable field which auto-populates the values when the Amount field is calculated using Manual Input or Skill Selection.
  5. Click Save

To update a Financial Transaction

  1. Log in to the Portfolio Management application and go to Finance > Financial Transaction Recording.
  2. Select the Financial Dataset under which you have the transaction that you want to edit. The selected Dataset should be an open one. For locked Datasets, the app doesn’t provide the option to edit any transaction.
  3. Select the Period under which you have the transaction that you want to edit. For an open dataset, there is an option to lock periods. For locked Periods, the app doesn’t provide the option to edit any transaction.
  4. Click on the transaction record you want to edit.
  5. On the Edit transaction blade, edit/update the details.
  6. Click Save.

To delete a Financial Transaction

  1. Log in to the Portfolio Management application and go to Finance > Financial Transaction Recording.
  2. Select the Financial Dataset under which you have the transaction that you want to delete. The selected Dataset should be an open one. For locked Datasets, the app doesn’t provide the option to delete any transaction.
  3. Select the Period under which you have the transaction that you want to delete. For an open dataset, there is an option to lock periods. For locked Periods, the app doesn’t provide the option to delete any transaction.
  4. Click on the transaction record you want to delete.
  5. Click Delete.
