Financial Transaction Recording Console


The Financial Transaction Recording Console provides users with a centralized interface to view, manage, and record financial transactions within a selected financial dataset. This feature ensures that financial data is accurately tracked and maintained, offering transparency and control over recorded transactions.

It is accessible to the Financial Master through the Finance tab on the navigation bar.

The console allows users to –

  1. Access recorded financial transactions based on specific criteria:
    • Financial Dataset: Select from the list of available datasets.
    • Financial Year: Auto-populates once the Dataset is selected.
    • Transaction Scope: Auto populates once the Dataset is selected.
    • Period: Select from the available range of 14 periods, 00, 01, 02……11, 12, and 99.
  2. Create new financial transactions for a new or unlocked dataset. Users can:
    • Select the Financial Dataset, Year, Scope and Period under which they want to create the transaction.
    • Input transaction details such as Amount, Currency, Account, Contra Account, Date, Comment and more.
  3. Modify transaction details in unlocked datasets as required. Users can select the transaction record they want to modify and edit details in the Edit transaction section of the console.
  4. Delete transactions in unlocked datasets by selecting the transaction record you want to delete and clicking Delete.
    • For newly created transactions, deletion is permanent. 
    • For copied transactions (if the Dataset is a copied one), deletion is recorded as a soft delete (the transaction remains in the system and appears with a Delete modification status).
  5. Associate transactions with relevant HPM Objects, Cost Centers, Business Entities, Skills and more. While creating or editing a transaction, users can fill in these optional fields for better categorisation and reporting.
  6. View the modification status of each transaction. The console displays a Modification Status column to indicate the current state of a transaction:
    • New – Transaction was created directly in the current dataset.
    • Unchanged – Transaction was copied from another dataset and not yet edited.
    • Changed – Transaction was copied or created and later edited.
    • Delete – Copied transaction was marked as deleted (soft deleted).

Financial Transaction Recording Console

To access the console, log in to the Portfolio Management application and click Finance > Financial Transaction Recording.

 Access menus

Navigate to the following options available in the Portfolio Management application:

  • Dashboard: The dashboard is visible to all resource contributors, managers, and masters. It consists of the Pre-Configured Cards and a Card’s settings icon that would allow the currently logged-in user to create new Custom Cards for easy access.
  • Workspace: The menu displays the available workspaces, which include Ideas, Demands, Projects, Programs, Project Tasks, Resource Requests, and Resource Assignments. The respective workspace displays the list of ideas, demands, projects, programs, project tasks, resource requests, and resource assignments created within the application.
  • Create: It displays the options to create a new IdeaDemand, ProjectProgramPortfolio, Resource Request and Project Import.
  • Portfolios: This has two categories, Business and Application Portfolios, that redirect you to the respective list of Portfolios created within the application.
  • Resources: This menu displays the list of consoles related to Resource Management, which includes Resource ConsoleTimecard ApprovalsResource TimecardsResource Availability and Competency Search.
  • Finance: This menu displays the list of consoles for Financial Management, including Financial Transaction Recording and Dataset Balances.

Messages: Shows the notifications for your profile.

For example, when a project task is assigned to the currently logged-in user, the notification will appear under this bell icon.

Application Settings: Shows the configuration settings in the Portfolio Management application.

My Profile: Displays the following user options:

  • My Competencies: Redirects the users to the My Competencies section, where they have different consoles to add and manage their qualifications, trainings and examination certificates and keep track of their assessment history. For more information, see Managing My Competencies.
  • Log Timecards: Redirects the user to the Timecard Dashboard, where they can enter a new timecard. For more information, see Timecard Dashboards
  • My Preferences: A field to enter the preferred language of the user.
  • Sign Out: Click to log out of the application.
2Financial Transaction Workspace

Contains the list of Financial Transactions created within the selected Financial Dataset during the chosen Period. It also includes features like - 

  • Search Grid: To search in the workspace by entering the keywords or ID.
  • Filter: To filter the listed records by entering or selecting values. You can use preset filters that are readily available to narrow down your search. Preset filters are filters that are available out of the box. Learn more about creating filters in Defining filter presets to search records
  • Visible Columns: To modify the visible columns in the workspace.
3Financial DatasetA dropdown having the list of Financial Datasets created within the app. Select one of the datasets to see the transactions within it.
4Financial YearAuto-populates once the Dataset is selected.

7Create a new transaction

Appears only if an open Dataset is selected in the Financial Dataset field. Users can create a new transaction in the open Dataset, for a chosen period by filling in the following details:

Amount: The monetary value of the transaction being recorded.

Currency: The type of currency in which the transaction is denominated.

Account: The financial account where the transaction is logged.

Contra Account: The corresponding account used to balance the transaction.

Document Date: The specific date on which the transaction took place.

Comment: A brief note providing context for the transaction.

In addition to these, there are some more fields to add details as per the transaction. This includes HPM Object, Cost Center, Business Entity, Quantity, Amount per unit, Skill and Unit.
