Dataset Balances Console


The Dataset Balances Console provides users with a detailed view of financial data within a selected Financial Dataset. It allows users to track financial records at both the Account and Position levels, ensuring transparency and better financial management.

It is accessible to the Financial Master through the Finance tab on the navigation bar.

The console allows users to –

  1. Access balances of individual Accounts within the selected Dataset.
    • Provides details such as Account Name, Total Balances in individual Periods (if any), and the Total balance for each Account. 
    • Shows if an account is used as a Contra Account with balances in negative.
    • Given that an account has some transactions in all the Periods, the Account Balance tab will show two entries (one for the Account in Positive and one for the Contra Account in Negative) for each of the 14 periods and two for the Total Balance.
  2. Access balances of Financial Positions within the selected Dataset.
    • A Position is a group of Accounts that are collectively analysed.
    • Provides details such as Position Name, Total Balances in individual Periods (if any), and the Total balance for each Position. 
  3. See HPM Object-specific Account Balances within the selected Dataset, provided there is a transaction associated with an HPM Object.
    • Provides details such as Account Name, Total Balances in individual Periods (if any), HPM Object Name and the Total balance for each Account. 
    • The balance records for an HPM Object associated transaction appear separately in addition to the balance records of the account. For example, if there is only one transaction in a Dataset, we should be getting four balance records – two for the period during which the transaction was recorded and two for the Total. However, if the same transaction is associated with an HPM Object, we will get eight balance records – four for the account, with no specific HPM Object and four for the specific HPM Object. This is important to track transactions separately for the HPM Object-specific balances and financial summarisation on HPM Objects.
    • If the transaction is associated with a child HPM Object, we will get 12 balance records for the same: four for the account, with no specific HPM Object, four for the specific HPM Object and four for the parent root object of the associated HPM Object. 

Dataset Balances Console

To access the console, log in to the Portfolio Management application and click Finance > Dataset Balances.

 Access menus

Navigate to the following options available in the Portfolio Management application:

  • Dashboard: The dashboard is visible to all resource contributors, managers, and masters. It consists of the Pre-Configured Cards and a Card’s settings icon that would allow the currently logged-in user to create new Custom Cards for easy access.
  • Workspace: The menu displays the available workspaces, which include Ideas, Demands, Projects, Programs, Project Tasks, Resource Requests, and Resource Assignments. The respective workspace displays the list of ideas, demands, projects, programs, project tasks, resource requests, and resource assignments created within the application.
  • Create: It displays the options to create a new IdeaDemand, ProjectProgramPortfolio, Resource Request and Project Import.
  • Portfolios: This has two categories, Business and Application Portfolios, that redirect you to the respective list of Portfolios created within the application.
  • Resources: This menu displays the list of consoles related to Resource Management, which includes Resource ConsoleTimecard ApprovalsResource TimecardsResource Availability and Competency Search.
  • Finance: This menu displays the list of consoles for Financial Management, including Financial Transaction Recording and Dataset Balances.

Messages: Shows the notifications for your profile.

For example, when a project task is assigned to the currently logged-in user, the notification will appear under this bell icon.

Application Settings: Shows the configuration settings in the Portfolio Management application.

Application Launcher: Contains a dropdown menu of all the applications offered by BMC.

For example, click on BMC Helix Dashboards to access HPM Reports.

My Profile: Displays the following user options:

  • My Competencies: Redirects the users to the My Competencies section, where they have different consoles to add and manage their qualifications, trainings and examination certificates and keep track of their assessment history. For more information, see Managing My Competencies.
  • Log Timecards: Redirects the user to the Timecard Dashboard, where they can enter a new timecard. For more information, see Timecard Dashboards
  • My Preferences: A field to enter the preferred language of the user.
  • Sign Out: Click to log out of the application.
2Financial DatasetA dropdown having the list of Financial Datasets created within the app. Select one of the datasets to see the respective Account and Position Balances.
3Account Balances Workspace

Contains the list of Account Balances for the selected Financial Dataset. Provides details such as Account Name, Total Balances in individual Periods (if any), and the Total balance for each Account. It also includes features like - 

  • Search Grid: To search in the workspace by entering the keywords or ID.
  • Filter: To filter the listed records by entering or selecting values. You can use preset filters that are readily available to narrow down your search. Preset filters are filters that are available out of the box. Learn more about creating filters in Defining filter presets to search records
  • Visible Columns: To modify the visible columns in the workspace.
4Position Balances Workspace

Contains the list of Position Balances for the selected Financial Dataset. Provides details such as Position Name, Total Balances in individual Periods (if any), and the Total balance for each Position. It also includes features like - 

  • Search Grid: To search in the workspace by entering the keywords or ID.
  • Filter: To filter the listed records by entering or selecting values. You can use preset filters that are readily available to narrow down your search. Preset filters are filters that are available out of the box. Learn more about creating filters in Defining filter presets to search records
  • Visible Columns: To modify the visible columns in the workspace.

 

Tip: For faster searching, add an asterisk to the end of your partial query. Example: cert*
