Creating and modifying task templates


This topic guides you on how Project Managers can submit and edit Task Templates.

To create a Task Template

  1. Log in to the Portfolio Management application and click on Settings Gear.PNG.
  2. Go to Project Management > Task Templates.
  3. Click Project Task Template to add a new task template.
  4. On the Add Project Task Template page, complete the task fields as explained in the following table:

    Define the title of the task created by using this template.

    Priority

    Specify the priority of the task created by using this template.

    Description

    Add a description for the task created by using this template.

    Duration

    Duration in days, End Date field for the task created by using this template is completed automatically in order this value and Start Date value.

    Estimated Effort

    Introduce the estimated effort for the task created by using this template.

    Skill

    Select the skill for the task created by using this template. 

  5. Complete the template metadata fields as explained in the following table:

    Template Name

    Name of the new task template.

    Status

    Select one of the following statuses:

    • Draft: This is the default status of a new template.
      In the Draft status, the template is not available for use.
    • Active: The template is available for use.
      Important: Only active templates are searchable and available for use.
    • Inactive —The template is redundant, and no longer in use.

    Has Subtask Templates

    Select one of the following statuses:

    • No: the template cannot contain other task templates as subtask templates. The template can be used as a subtask template for other task templates.
    • Yes: the template contains other task templates as subtask templates. The template cannot be used as a subtask template in other task templates. 

    Template Description

    Description of the purpose of the template or Notes about the template.

  6. Click Save.
  7. After you create the task template, you can add subtask templates to the task template if Has Subtask Templates is Yes. When the task is created using the task template, also the subtasks are created using subtask templates related.
    1. Navigate to the Project Subtask Templates tab.
    2. Click Relate Template.
      A blade window appears with the list of active task templates where the 'Has Subtask Templates' field is No.
    3. Select the task template that you want to relate as a subtask template and click the Select button and the blade window is closed.
      The list of the related subtask templates is refreshed with the task template selected.
    4. The duration field is updated automatically in the template in order with the Duration of the subtasks templates related.
  8. Once Subtask Templates are added to the task template, you can specify Predecessors-Successors relationships between the subtask templates. When the task is created using the task template, the subtasks are created using subtask templates related, and also Predeccesor-Successor relationships are created between the subtasks using Predecessors-Successors relationships defined between the subtask templates. 
    1. Navigate to the Project Subtask Templates tab.
    2. Select the subtask template related that which you want to specify a predecessor or successor subtask template.
    3. Click New if you want to specify a predecessor subtask template or the > New button for a successor subtask template.
      A blade window appears with the list of the other subtasks templates related to the template.
    4. Select the subtask template and click the Select button and the blade window is closed.
      The list of the Predecessor or Successor subtask templates is refreshed of the selected subtask template. 
    5. The duration field is updated automatically in the template in order with the Duration of the subtasks templates related and the Predecessor and Successor relationships between them.

To modify a Task Template

  1. Log in to the Portfolio Management application and click on SettingsGear.PNG.
  2. Go to Project Management > Task Template.
  3. Click on the Template Name link of the task template that you want to modify.
  4. Templates with a Status is 'Active' cannot be modified. To modify the Status:
    • Click Edit in the Metadata section.
    • Change Status value to Draft or Inactive
    • Click Save.
  5. Click Edit in the task template fields section.
  6. Make the necessary modifications.
  7. Click Save.
  8. Active the template by modifying the Status to Active in the Metadata section (as explained in point 4).
