Controlling user access to email templates


In BMC Helix Business Workflows, by default, users from a line of business can access email templates created for that line of business. An email template manager or a case business analyst can control user access for an email template. By restricting access, you prevent other support groups or unauthorized users from viewing confidential data in the templates. The user who created an email template will still be able to access it even if the user is not in the support group to which the email template is restricted. 

Scenario

Allen Allbrook, an email template manager from the Finance line of business creates an email template. By default, users from the Finance line of business can access the email template. Allen wants to restrict access to the email template only to Payroll support group so that case agents from other support groups can't access confidential data in the template. Allen edits the email template and removes access for the Finance line of business and adds access to only the Payroll support group. Only case agents from the Payroll support group and Allen can now access the email template.

To add or remove user access to email templates

  1. Log in to BMC Helix Business Workflows.
  2. Click Settings Gear icon.PNG.
  3. Select Email > Templates.
  1. On the Email Templates page, from the Line of Business list, select the line of business for which you want to change the user access to an email template.
    If you have access to a single line of business, the line of business is selected by default.
  1. Click the email template for which you want to add or remove permissions.
  1. On the Edit Email Template screen, in the Template access section, click Edit.
    In the Edit Template Access screen, you can view the line of business, support groups, and agents who have access to the email template.

  2. Add or remove access for support groups and users.
  3. Click Close.

Important

To revert to the default settings, click Reset to Default. The email template access is reverted to the original line of business for which the email template was created.
