Exercise 1 - Define the Return to office request after the Covid-19 pandemic service fulfilment workflow
With the use case fulfillment information above, we can now design the process workflow with the following input process variables:
- Visit Type
- Visit Purpose
- Reason for Visit
- Site
- Start Date for Visit
- End Date for Visit
- Equipment Type
- Equipment List
- Contact Number
- Contact Email
- Additional Information
- Work Status
- varDescription (local variable used to build the content of the request)
The process flow works as follows:
- The first activity is the out-of-the-box Digital Workplace Manager Approval Process
- If the Manager approves the BMC Helix Digital Workplace Request, then the flow proceeds to the Create a Work Order activity and ends when the Work Order is closed
- Since the nature of the request may vary depending on the choices made by the requester, we are using a number a gateways and compute value activities to build out the request description accordingly
- If the Manager does not approve the flow ends
For this use case the Work Order Summary has been set to the "Service Name" and the Work Order Description field contains the varDescription local variable which is built based on the selections made by the requester, when filling out the request questionnaire. The following are additional suggestions that can be implemented to enhance the fulfillment use case:
- Use of a Work Order Template to populate additional fields such as the Operation and Product Categories as well as other attributes supported by the Templates
- Addition of the Operational and/or Product Categories directly in the mapping of the process flow.
- Use of specialized fields on your Work Order form (if you have configured your form to store additional information) to capture the input fields from the process flow. That is, you can map these fields to their respective fields on the Work Order form, instead of concatenating them together within the Description field.
- Additional Approval Processes and Work Order records may need to be added based on your requirement
