Setting up approvals


When end users request a service that requires an approval in BMC Helix Digital Workplace, the approval request is routed to all approvers specified in the approval process rules. Action Request System (AR System) administrators define these rules on the AR System server in the Approval Central. For more information about approvals, see Setting up the approval process.

As a BMC Helix Digital Workplace administrator, you can enable and set up approvals in the BMC Helix Digital Workplace Admin console.

 

Overview of setting up approvals

As an administrator, you configure how approval requests are handled and presented in BMC Helix Digital Workplace. Setting up approvals involves enabling the approval types that your organization uses, defining what actions are available to approvers, determining how approval details are displayed in the end‑user console, and more. Configuration is primarily performed in the BMC Helix Digital Workplace Admin console, with additional tasks completed in AR System when required.

Scenario
Allen, the administrator at Apex Global, is configuring how approvals will function in the organization. He starts by enabling the required approval types and additional approver actions, such as putting requests on hold, delegating to alternate approvers, requesting clarification, and reassigning approval requests.

Later, an end user named Britney requests a new laptop through BMC Helix Digital Workplace. Since the service requires approval, the request is automatically routed to an approver. While processing the request, the approver is busy and places it On Hold. Before going out of office, the approver delegates the approval task to Mary, an alternate approver. Mary receives the delegated request but needs more information to proceed, so she uses the Request Clarification option to ask Britney for additional details. After Britney provides the necessary clarification, Mary approves the request. With the approval completed, Britney’s laptop order moves forward without any further delays.

To configure BMC Service Request Management approvals

Important

Starting with the 21.3.02 patch, BMC announces changes related to the availability of BMC Service Request Management that might affect your use of BMC Helix Digital Workplace.

You can configure BMC Service Request Management approvals of the following types:

  • Person — Sends an approval request to any user defined in the People form regardless of the requester's manager.
  • Manager — Sends an approval request to a manager based on the specified management level.
  • Group — Sends an approval request to group members defined as a support group with the approval permission.
  • Custom — Sends an approval request as defined in a custom approval chain.
