Evaluation of page visibility rules
Considerations for defining rules for landing page navigation
- Only administrators can define rules for landing page visibility. Home pages and redirect pages following a request submission are the specific landing pages that you have the option to assign.
- Rules are evaluated in a top down order, with priority given to the first valid match for a user.
- Rules are defined based on studio page entitlements. The rules determine which set of users will see which home page from the pages that they are entitled to.
- The studio page entitlements refer to the people groups created in theBMC Helix Digital Workplace catalog, who have access to the page. For more information, see Creating-people-groups-for-end-user-collaboration.
Similar rules apply to embedded pages as well. For more information about the user groups in the BMC Helix Innovation Studio and the entitlements, see Creating users, groups, and roles.
- The audience of a home page refers to the groups of users who will be redirected to this page after logging in.
- The audience of a home page is always a subset of the page's entitlements. From the entitled groups of users, you can select the recipient groups as an audience for the home page.
For example, every user within an organization can access the page named Marketing. However, only marketing team members would see the Marketing page as their home page. The other entitled users can navigate to that page, but they would not have the Marketing page as their home page. - At the end of the list of landing pages, keep at least one page that is available to all users.
- If you do not set any page rules for home pages and post-request redirection pages, the My Activity page is displayed as a fallback page for all the users.
- BMC Helix Innovation Studio manages the entitlements for embedded pages. You cannot add or modify their entitlements within the BMC Helix Digital Workplace admin console. For more information, see Assigning customized home pages - BMC Documentation.
Example of the home page assignments
The following illustration provides an example of how the rules defined for the home page assignment drive the home pages that users see:

- Customer enablement page—The page is accessible to the Enablement and Sales groups. Bob is a part of the Enablement group, so he sees Customer enablement as his home page. Carl does not see this page as his home page. However, he can navigate to Customer enablement because of the entitlement.
- Sales page—The Sales page has no entitlements, so everyone can access it. The administrator has assigned the sales team as an audience. The page is second from the top but comes as the first assigned home page for the Sales team. Carl belongs to the Sales team, and he sees the Sales page as a home page.
- Marketing page—Mary belongs to the marketing team. Therefore, Mary sees the Marketing page as her home page.
- Apex Global Home page—This home page is generic and designed for the general audience in the organization. Sara is not a part of any of the above three audience groups. Therefore, she arrives at the Apex Global Home page after logging in.
How page visibility rules work for studio pages
As an administrator, you assign specific landing pages to a specific set of users based on their roles and needs.
You specify page visibility rules on the Homepage assignment tab to assign a home page to a particular audience. These rules also apply to the Post-request redirection page assignment.
The following table lists the various scenarios to help understand the definition of rules and their corresponding effects.
Scenarios | Actions for setting the audience to a home page | Page entitlements
| Audience set for the home page visibility | Effect |
|---|---|---|---|---|
You add a home page named Sales that has entitlements. | You keep the audience the same as page entitlements by selecting the check box Use page entitlements.
Important: This is the default state when adding a rule for a page with entitlements. | Enablement group, Presales group | Enablement group, Presales group | Users who belong to the Enablement group or Presales group will see Sales as their home page. |
You add a home page named Recruitment that has page entitlements, and you modify the audience manually. You choose a subset of the entitled groups. | You modify the audience by clearing the check box Use page entitlements.
| Onboarding group, HR operations group, Recruitment group | Recruitment group | Users who belong to the Recruitment group will see Recruitment as their home page. The users from the Onboarding group and HR operations group will not see Recruitment as their home page; however, they can navigate to the Recruitment page as and when needed because they are entitled. |
You add a home page named Legal that has no entitlements and modify the audience manually. You choose a subset of the entitled groups. | You modify the audience by clicking Edit.
Tip: While editing the audience, to list every group available, enter "%" in the search field and select the intended group from the list. | All users | Legal group | Users who belong to the Legal group will see the Legal page as their home page. The Legal page is accessible to all the users in the organization whenever they want to refer to it. You can add this page to the generic navigation menu. |
You add a home page from the Core Application Pages that has no entitlements. | The added page has no page entitlements; everyone has access to it. You cannot edit the audience for the Core Application Pages.
| All users | All users | All users will see the Catalog page as their home page after logging in. |
You add a home page named Accounts that has entitlements. You modify the audience manually. | You have specified the audience for a home page. | Quotation group, Taxation group, Finance group | Quotation group, Finance group | Users who belong to the Finance group and the Quotation group will see the Finance home page after logging in. |
The entitlements later get modified in the Studio to remove the Quotation group for this page. The message is displayed in the Studio, showing the warning that this page has been assigned to a rule in the navigation manager. | The page entitlements conflict with the home page audience.
| Finance group, Taxation group | Quotation group, Finance group, | On the Homepage assignment tab, the group that is not now a part of page entitlement turns yellow. |
| You see a message displayed about the conflict between the entitlements and the selected audience on the Homepage assignment tab. | You can refresh the selection by clicking the Use page entitlements check box.
| Taxation group, Finance group | Finance group | Users who belong to the Finance group see Accounts as their home page. However, users from the Taxation group can navigate to this page as and when required. The users in the Quotation group cannot access this page. |
You add a home page with an embedded page that has entitlements.
| The embedded pages have their own entitlements managed in BMC Helix Innovation Studio.
| Defined in BMC Helix Innovation Studio | Audience selection is disabled | Users view the embedded page as their home page if they are entitled in BMC Helix Innovation Studio. Administrators cannot modify the audience in Navigation Manager to prevent conflicts. |
