Task 1: Setting up the outgoing mailbox


To leverage the notification engine on BMC Helix Innovation Suite, as an administrator, you create an outgoing mailbox configuration and end-user email settings.  You must create at least one outgoing mailbox to process an email notification. If you have multiple outgoing mailboxes, you must create an email profile and specify the mailbox that you want to assign for outgoing email notifications. 

For end users to be able to receive the email notifications, you must make sure that the email notifications are enabled.

To set up the outgoing mailbox

You must specify a default mailbox in Action Request Systemfor outgoing email notifications. 

  1. As an AR administrator, log in to Mid Tier. 
  2. Select AR System Administration AR System Administration Console.
  3. On the BMC Remedy AR System Administration Console page, select System > Email > Mailbox Configuration
  4. On the AR System Email page, create the outgoing mailbox by following the steps in Configuring outgoing mailboxes

Tip

If you have configured multiple outgoing mailboxes, make sure that in the Advanced Configuration tab, you specify the default outgoing mailbox, as shown in the following image:

To enable email notifications for the end users

  1. As an AR administrator, log in to Mid Tier.
  2. Select Administration Console Application Administration Console
  3. On the CTM:People form, search and select the end-user record who must receive email notifications, and click the Notifications tab. 
  4. From the Notification Language list, select the language in which you want the end user to receive the email notification. 
  5. The default value is English (United States)

    Important

    Additionally, you can enable end users to select the language of email notifications from Preferences in the end-user console. For more information, see Task-5-Enabling-the-notification-engine.

  6. From the IS Notify Mechanism list, select Alert and Email or Email
  7. Click Save

Repeat the steps for all end users who should receive email notifications from the notification engine on BMC Helix Innovation Suite.

If you select any option other than Alert and Email or Email from the IS Notify Mechanism list (such as None, Alert, or leaving the field empty), email notifications are disabled for that specific end user. In this case, the user sees a banner in the Preferences > Notifications section informing them that Email notifications have been disabled by your administrator. (Optional) To configure an email profile

If you have configured multiple outgoing mailboxes, you must create an email profile to specify the mailbox that you want to use for the email notifications sent by notification engine on BMC Helix Innovation Suite. 

  1. As an administrator, log in to BMC Helix Innovation Studio
  2. On the Administration tab, select Email > Email profiles
  3. Click New
  4. On the Add new email profile, complete the following fields:

    Field name

    Description

    Example

    Profile name

    Provide a meaningful name for the email profile.

    Select Outgoing mailbox

    Mailbox

    A list of outgoing mailboxes configured in Action Request System are displayed. Select the mailbox that you want to use to send email notifications.

    Application

    Select Digital Workplace

  5. Click Save
