Assigning applications to users and groups


This topic describes how to assign applications to users and groups.

Assigning applications to groups and then adding users is the recommended approach, because you invest the time up-front to define the recommended and optional applications for groups that represent the user types in your environment (for example, staff who frequently travel, contract or student employees) and then, when you add new users to the group, they automatically inherit all of the group settings.

Note

If you create individual application assignments for a user and then add them to a group, the individual settings will take precedence over the group settings.

Determining whether an application should be specified as Required or Optional

When deciding whether to specify an application as Required or Optional, you must consider the differences in deployment to the user's device(s). These differences are described in the following table:

The application is included in the list of available applications that the user can install when they first install the BMC AppZone Client. If you specify an application as Optional after a user is active, they will see the new application the next time they visit the BMC AppZone Client.

By default, applications are assigned to users and groups as Optional.

Required

The user is prompted to install the application when they first install the BMC AppZone Client. If they do not complete the install when they first login, they are reminded every 15 minutes when the client refreshes. If you specify an application as Required after a user is active, they will be notified of the change in status the next time they visit the BMC AppZone Client.

To assign applications to a group

  1. From the BMC AppZone Administration Console, click People.
    The Manage Users page appears. 
  2. Click Manage Groups.
    The Manage Groups page appears.
  3. In the Group list, click the name of the group.
  4. Click Assign Group and select Add Applications to Group.
    The Assign Applications window appears.
  5. In the Application list, select the application(s) that you want all users in this group to have on their device(s).
  6. In Assignment Type, specify whether the applications are Required or Optional
  7. Click Assign

To assign applications to a user

  1. From the BMC AppZone Administration Console, click People.
    The Manage Users page appears.
  2. In the User list, click the name of the user.
  3. Click Assign User and select Assign Applications to User.
    The Assign Applications window appears.
  4. In the Application list, select the application(s) that you want this user to have on their device(s).
  5. In Assignment Type, specify whether the applications are Required or Optional.
  6. Click Assign.

If you create individual application assignments for a user and then add them to a group, the individual settings will take precedence over the group settings.

If the application(s) require a license for use, then one license from each application will automatically be assigned to the user. This license will appear as Assigned in the application's detail page, until the user installs the application on their device(s), at which point the license will appear as Consumed.

Administrators can assign users to multiple groups. Users who belong to multiple groups will receive application assignments from all the groups they belong to. When the same applications are assigned to a user from multiple sources (for example, group assignments and individual assignments), the applications have a collective assignment type. If one of the sources assigns the applications as Required, the collective assignment will be Required. If all of the sources assign the applications as Optional, the collective assignment will be Optional. For information about adding users to multiple groups, see Configuring-users-and-groups.
