Configuring email notification for your system
You can configure notification emails to be sent by Microsoft 365 - OAuth or routed directly to the SMTP mail server that you define.
Before you begin
FootPrints supports OAuth for email notifications. Before you configure email notifications with OAuth:
- You must register FootPrints with Microsoft. For the related procedure, see the Microsoft documentation or website.
- You must generate the Client ID, Tenant ID, and Client Secret for FootPrints.
- You must add the variable $Print_Oauth_smtp_msg_content = "0"; in the MRlocalDefs file to be able to print the contents of the email messages in the log file. By default, the content is not printed and you must set the variable to $Print_Oauth_smtp_msg_content = "1"; to be able to print the contents.
To configure email notification for your system
- Click the Administration tab and select System.
- In the Features section, click Email.
The FootPrints Email page is displayed. - In the Email Notification section:
- Click Enabled for Enable Email Notification.
This setting overrides the workspace settings or user preferences.
If you click Disabled, no email notification is sent by FootPrints. - Configure email notifications to be sent by using Microsoft 365 - OAuth or by using the SMTP mail server:
- If you select the Enable Microsoft 365 - OAuth 2.0 check box to configure email notifications with OAuth, enter the following information:
- Client ID
- Client Secret
- Tenant ID
- Enter the Default Reply Address.
This address is the one displayed in the From and Reply to fields of all outgoing notification email sent by FootPrints. Any direct replies to FootPrints notification email go this address. Individual reply addresses can also be specified for individual Workspaces. Refer to Incoming Mail Setup for additional information.
- If you clear the Enable Microsoft 365 - OAuth 2.0 check box, you must configure the SMTP server settings for email notifications.
- Enter the SMTP Server (Windows only).
- Define the SMTP Server Port number for the connection.
- In the SMTP Server Encryption Method field, select the type of encryption used by this server.
- No Encryption,
- TLS (default port 587)
- SSL (default port 465)
By default, the secure SMTP option is disabled. Refer to the Supported Platforms web page for a list of the secure SMTP servers that are supported.
- Enter the Default Reply Address.
- Enter the Default From Name.
This name is displayed in the From field of email notification. By default, this name is FootPrints, it can be changed, for example, to your company or department name. Different From Names can be defined for individual Workspaces. Refer to Incoming Mail Setup for additional information. - Enter the Default Domain Name.
This email domain is added on to email addresses where the user has no domain specified. For example, if customers are configured to only enter their email ID names (e.g., jsmith) and your organization’s email domain is @widget.com, enter widget.com in the Default Domain Name field and FootPrints appends that domain when sending an email to a user, for example, jsmith@widget.com. - (For UNIX and Linux users only) Enter the Default Sendmail Command.
Specify a sendmail command for email notifications sent by FootPrints when you use a program other than the UNIX or Linux sendmail program for email processing. - Enter the Pager/Wireless Servers.
Specify the email domains that will receive shortened email notifications. Any email notification that goes to these domains follows the email format defined on the Email Preferences page (in Workspace Administration) for pager or wireless. Enter a space-separated list of domains, for example, palm.net skytel.net motorola.com.
- If you select the Enable Microsoft 365 - OAuth 2.0 check box to configure email notifications with OAuth, enter the following information:
- (Optional) Select Send Introduction Email to send an introductory email the first time a notification email is sent to any users email address; for more information, see Formatting Introduction Email.
- (Optional) In the Mass Mail section, you can send a broadcast email to multiple contacts in the Address Book; see Mass Mail Settings.
- Click Enabled for Enable Email Notification.
- In the Apply Changes section, enter a password and click Save.
Tip: For faster searching, add an asterisk to the end of your partial query. Example: cert*
