Microsoft System Center Configuration Manager/SMS Workspace Administration Setup
In addition to the system setup, Asset Management must be configured on a Workspace-by-Workspace basis. In this way, you can control which Workspaces use Microsoft System Center Configuration Manager/SMS asset data (e.g., you may want it in the Service Desk Workspace, but disabled in the Development Workspace) and which Workspace or Address Book field to use as a reference to the asset database.
Asset Management is configured for a Workspace under Administration | Workspace | Other Options | Asset Management. If Asset Management is not listed as an option, then it has not been configured correctly by the System Administrator. Refer to Microsoft System Center Configuration Manager/SMS System Administration Setup for more information.
The options are:
- Enable Asset Management—This setting enables or disables Asset Management for the Workspace. It is disabled by default for new Workspaces.
- Assets Field—Asset data is displayed as a multi-line Workspace field (permissions: internal optional) in the Create Issue and Edit Issue pages. Specify the field name. You can enter the name of a new field to create or select from the list of existing multi-line Workspace fields.
- Included Asset Data—By default, all information about an asset in the Microsoft System Center Configuration Manager/SMS inventory is imported into an Issue when using the Select Asset feature. You can choose to only include some data in Issues. Three checkboxes are available to control the data imported: General, Hardware, and Software. All data is visible in the Assets pop-up window regardless of what is selected here. Removing some data can help save space in the Issue record and also improve the response time of the Select Asset feature.
- Select Key Field (optional)—Assets can be selected from the Create Issue and Edit Issue pages by Agents and administrators. If a key field is defined here, the Select Asset button, when clicked, automatically displays search results from Microsoft System Center Configuration Manager/SMS based on the data for the key field in the current Issue. For example, if the FootPrints Address Book contains a User ID field, and that field is mapped here to the Microsoft System Center Configuration Manager/SMS User field, the asset data for the customer contact in the current Issue should be displayed automatically when the Select Asset button is clicked.
- Define the key field by selecting a FootPrints field from the list, then select the corresponding Microsoft System Center Configuration Manager/SMS field. The data in both fields must match. If you don't have matching fields that contain the same data and want to use this feature, create a new FootPrints Address Book or Workspace field that matches an Microsoft System Center Configuration Manager/SMS field.
- If no key field is defined, clicking the Select Asset button displays a window that lists all assets in the Microsoft System Center Configuration Manager/SMS inventory. From there you can browse or search for the correct asset.
- If a key field is defined but no matching asset is found, you can either show all assets or to display a message stating that no results were found.
- Automatically Select Asset Data—This section provides options to automatically fill the Asset field without clicking the Select Asset button. The first two options attempt to populate this field at the time the Select Contact button is used on the Create Issue and Edit Issue pages. When the contact information is populated automatically, FootPrints attempts to search on the Key field and populate the Asset field. The next option attempts to automatically populate the Asset field after a customer has submitted a request from the Customer Self-service interface. The last two options attempt to automatically populate the Asset field after a new Issue has been created through an email submission.
- Select which columns should be displayed—This section allows you to choose which asset information is displayed when a list of assets is shown. The first option is a hyperlink allowing further access to the details of that asset.
- Define the key field by selecting a FootPrints field from the list, then select the corresponding Microsoft System Center Configuration Manager/SMS field. The data in both fields must match. If you don't have matching fields that contain the same data and want to use this feature, create a new FootPrints Address Book or Workspace field that matches an Microsoft System Center Configuration Manager/SMS field.
- Asset Window Preferences—You can control the display of Microsoft System Center Configuration Manager/SMS Inventory assets in the browser interface in this section. The options are:
Assets Window Initial Page—Select whether to display the homepage (list of assets) or search page for assets as the initial screen displayed in the Assets window.
- Details Page Initial Tab—Select which tab is initially displayed for the Details of an asset: General, Hardware, or Software.
- Number of assets per page—Enter the number of assets to be displayed per screen (the maximum is 100).
When you finish configuring Asset Management, enter your password and click GO. An Asset Management link is displayed on the Toolbar for this Workspace and the Select Asset option is available from the Create Issue and Edit Issue pages.
