Saving and providing access to reports


When you save a report, you can apply a range of settings to the report.

To save a report

  1. When working on a draft report, click Report, and select Save or Save As to create a copy of the report.

  2. Complete the fields on each tab of the Save Report dialog box.

    The fields in each tab are described in the following sections:

Details tab

Option

Description

Name

The name of the report.

Description

A description of the report.

Category

The category (folder) to save the report into. You can select only the categories to which you have access to.

Subcategory

The subcategory (subfolder) to save the report into. The subcategory might have security and refresh settings applied to it that will affect the report.
Note: If you select the subcategory as Draft Contents, the report gets saved as a Draft.

Tags

Tags to make searching easier.

Report Access

Access permission at the report level. The options are:

  • Public—All users with Category access can view the report.
  • Private—Assigned users can access the report. If you select this option, click the User Access tab that appears in the dialog box, and add users.

Important: A user with super access to the content can view and manage the private reports created by other users. For more information, see Granting-Content-Super-User-permission-to-access-and-manage-all-content.

Distribution tab

Option

Description

Personal Broadcast

Allows or prevents users from broadcasting this report to themselves. See Broadcasting-reports-to-Smart-Reporting-users-via-email.


Broadcast

Allows or prevents users from setting up broadcast schedules for this report. See Broadcasting-reports-to-Smart-Reporting-users.

Web Services

Allows or prevents users from calling the report via web services.

Email

Allows or prevents users from distributing this report via email. See Sharing-reports-with-external-users-via-email.

Email & Broadcast Security

Determines whether a report can be emailed from the system to unauthorized users. The options include:

  • All Users—The report can be sent only to people who are registered users of the system.
  • Unsecure—The report can be sent to unregistered users.
  • Validated Users—The report can be sent only to users who have security access to the category and the report. Prior to sending, the report is validated against user permissions.

Browse Page

Includes or hides a report from display on the browse page. Reports are sometimes hidden from the browse page if the writer intends users to access them via Drill Through, Dashboard, or Storyboard.

Dashboard

Includes or hides the report from the Smart Reporting Dashboard. Some reports may be hidden from the dashboard if they are too detailed.

Use as View

Allows a report to be used as a view for other reports to be built on.

Access Filters

Allows the results of a report to be used as a source for access filter records.

Refresh tab 

Option

Description

Refresh Settings

Some reports do not run automatically and require you to refresh the data. If a report is not refreshed automatically, the data you see when you open the report might be relatively old. The age of the data is displayed under the menu bar. You can set one of the following refresh options:

  • None—There is no refresh schedule for the report, and the data is loaded when the report is run.
  • Manually—The user must manually refresh the report when needed.
  • Periodically—The report is refreshed on a scheduled basis. When you select this option, the schedule options are displayed, which you can set as required.
