Managing data of multiple organizations in BMC Helix Dashboards


As a tenant administrator, you can manage the data of multiple organizations in BMC Helix Dashboards by using a single tenant. By configuring multiple organizations in a single tenant, you can visualize and monitor their data, thereby saving the cost of configuring and maintaining separate tenants. Each organization is managed by a separate subtenant. A tenant administrator can visualize and monitor the data of all organizations managed by subtenants.

Managing data of multiple organizations involves these tasks:

  1. Onboard organizations and their users.
  1. Manage the roles and permissions of users.

You can manage service management or operations management data, which is retrieved from products such as BMC Helix ITSM and BMC Helix Operations Management.

Important

At a time, you can manage either service management data or operations management data of multiple organizations. Managing both the service and operations management data simultaneously is not supported.

Service management data

BMC Helix ITSM includes the IT services data of multiple companies. These companies are synced as organizations in BMC Helix Portal. These organizations along with their users are synced as Teams in BMC Helix Dashboards. Any change to the organization in BMC Helix Portal is automatically synced and the corresponding team in BMC Helix Dashboards is updated. BMC Helix ITSM users who belong to different realms registered in BMC Helix Single Sign-On can access and use BMC Helix Dashboards.

Example

Jordan, a tenant administrator, is responsible for managing three different companies (BMC Software, Calibro Services, and Invention, Inc.). He wants the users of these three companies to have a centralized location for creating, sharing, and visualizing dashboards and reports. 

Jordan can use BMC Helix Dashboards to configure multiple companies as different teams with their respective users. He can update the settings of those companies and add or remove users and teams. Jordan can configure the roles and permissions for each company and its users.

Operations management data

The BMC Helix Operations Management and BMC Helix Log Analytics provide the events, metrics, and logs data. To manage this data of multiple organizations, a tenant administrator can create a custom dashboard to fetch data of multiple subtenants that manage these organizations. 

Example

Jordan is an org administrator in Apex Global. His company uses the BMC Helix products to monitor and manage the events and metrics data of the following Apex Global clients: Pepsi, Coke, and Cola. Jordan wants to create a single dashboard from where he can visualize and analyze data of all these clients. He also wants to assign specific permissions so that the users of Pepsi, Coke, and Cola can access only their domain-specific data. He requests the BMC SaaS Ops team to onboard him as a tenant and create the following organizations in  BMC Helix Portal: Pepsi, Coke, and Cola.

These organizations are synced as teams in BMC Helix Dashboards. Jordan can create a single dashboard to fetch data of all these organizations that are synced as teams. He can assign the dashboard permission to the teams. Whenever a user that belongs to any of these teams logs in and accesses the dashboard, the user can view the organization-specific data.

To onboard organizations and their users 

To manage data of multiple organizations, contact the BMC SaaS Operations team to create a tenant and subtenants. The tenant and subtenants are displayed under Organizations in BMC Helix Portal.

  • (For service management data) All companies and their users in BMC Helix ITSM are synced in BMC Helix Portal as organizations. Each organization is synced as a team in BMC Helix Dashboards. For example, if you onboard BMC Software as an organization in BMC Helix Portal, the organization is configured as a team in BMC Helix Dashboards. After a successful onboarding, each team has their respective users configured automatically in BMC Helix Dashboards. 
  • (For operations management data) Create users in BMC Helix Portal for the tenant and subtenants. You can then assign the appropriate permissions to these users to view or manage specific dashboard content.

To set the roles and permissions 

An administrator can assign unrestricted access to any user. With unrestricted access, these users can view and manage the dashboards and reports from other organizations also. To manage data of multiple organizations, a tenant administrator or an editor can assign the appropriate permissions to the custom folders and dashboards.

To set the permissions for custom folders

  1. From the navigation menu menu_icon.png, expand Dashboards.
  2. To create a custom folder, select New > New folder.
  3. Enter a folder name and click Create.
  4. On the Permissions tab, click Add a permission.
  5. To assign permission to a user, select User and search for the appropriate user name.
  6. ​​​​Select the respective role for the user and click Save.

    If you assign permission to a Team, the members belonging to the Team can access the folder. 

To set permissions for custom dashboards

  1. From the navigation menu menu_icon.png, expand Dashboards.
  2. To create a custom dashboard, select New > New dashboard.
  3. Select a new panel and create a dashboard.

  4. Click Dashboard settings.
  5. Select Permissions > Add a permission.
  6. Assign appropriate permissions:
    • To assign permission to a user, select User and search for the appropriate user name.
    • To assign permission to a team, select Team and search for the appropriate team. All the users included in the Team can view the dashboard.
  7. Select the respective role for the user and click Save.

Important

  • By default, an administrator has access to all the custom dashboards and folders in the tenant.
  • While scheduling a report as an editor, you can only view the recipients from your team. A user with unrestricted access has Edit permission by default and can view the recipients from all the teams that are configured in the tenant.
  • Users with unrestricted access can access all the dashboards.
Can existing users change their model to support multiple companies?

Existing users who want to support multiple companies must contact the SaaS Operations team.
