Managing multiple companies in BMC Helix Dashboards


As a tenant administrator, configure multiple companies in a single tenant of BMC Helix Dashboards. By configuring multiple companies in a single tenant, you can visualize and monitor the data centrally. This feature helps to reduce the cost of configuring and maintaining separate tenants. Users can view the data of their own companies or subcompanies only.

Important

The companies that are created in BMC Helix ITSM are treated as Organizations in BMC Helix Portal. The Organizations are synced as Teams in BMC Helix Dashboards. 

When an Organization is created in Portal, it is synced in Dashboards. Any change to the Organizations in Portal is automatically synced and the corresponding Team in Dashboards is updated.

  • BMC Helix Dashboards supports multiple companies only for BMC Helix ITSM.
  • This feature supports only single sign-on users with single authentication source. This release does not support users with multi-realm single sign-on.

To view Teams in Helix Dashboards

To view the Teams, from the navigation menu menu_icon.png, expand Administration and select Teams.

The users, and their respective teams are configured in the same tenant with different roles and permissions.

Managing multiple companies involves the following functions:

  • Onboard organizations and their users by using BMC Helix Portal.
  • Manage the roles and permissions of different organizations and their users.
  • Manage the report scheduler settings for multiple companies.


Example: Manage users and teams in a multicompany environment

Jordan, a tenant administrator, is responsible for managing three different companies (BMC Software, Calibro Services, and Invention, Inc.). He wants the users of these three companies to have a centralized location for creating, sharing, and visualizing dashboards and reports. 

Jordan can use BMC Helix Dashboards to configure multiple companies as different teams with their respective users. He can update the settings of those companies and add or remove users and teams. Jordan can configure the roles and permissions for each company and its users.

To onboard multiple companies and their users

The tenant administrator onboards multiple companies and their users by using BMC Helix Portal. Each company is configured as a team in BMC Helix Dashboards. For example, if you onboard BMC Software as an organization in BMC Helix Portal, the organization is configured as a team in BMC Helix Dashboards. After a successful onboarding, each team has their respective users configured automatically in BMC Helix Dashboards. 


To set the roles and permissions

Roles and permissions are an essential aspect of managing access to information and resources in any organization or system. They help to define the levels of access and actions that different users can perform, depending on their position, responsibilities, and needs. By assigning specific roles and permissions, administrators ensure that users have the correct level of access to perform their jobs, while also maintaining the security and integrity of the system. 

BMC Helix Dashboards offers three types of roles to its users—administrators, editors, and viewers. Each user has access to the dashboards and reports of their respective companies. By default, an administrator has access to all the content in the tenant. For more information about roles and permissions, see Roles-and-permissions.

An administrator can assign unrestricted access to any user in BMC Helix ITSM. When users are assigned unrestricted access, they can view and manage the dashboards and reports from other companies as well. 

While managing multiple companies, a tenant administrator or an editor can assign the appropriate permissions to the custom folders and dashboards.

To set the permissions for custom folders

  1. From the navigation menumenu_icon.png, expand Dashboards.
  2. To create a custom folder, select New > New folder.
  3. Enter a folder name and click Create.
  4. On the Permissions tab, click Add a permission.
  5. To assign permission to a user, select User and search for the appropriate user name. 
  1. Select the respective role for the user and click Save.
    If you assign permission to a Team, the members belonging to the Team can access the folder. 

To set permissions for custom dashboards

  1. From the navigation menu menu_icon.png, expand Dashboards.
  2. To create a custom dashboard, select New > New dashboard.
  3. Select a new panel and create a dashboard.

  4. Click Dashboard settings settings_icon.png.
  5. Select Permissions > Add a permission.
  6. Assign appropriate permissions:
    • To assign permission to a user, select User and search for the appropriate user name.
    • To assign permission to a team, select Team and search for the appropriate team. All the users included in the Team can view the dashboard.
  1. Select the respective role for the user and click Save.

Important

  • By default, an administrator has access to all the custom dashboards and folders in the tenant.
  • While scheduling a report as an editor, you can only view the recipients from your team. A user with unrestricted access has Edit permission by default and can view the recipients from all the teams that are configured in the tenant. 
    Users with unrestricted access can access all the dashboards.
Can existing users change their model to support multiple companies?

Existing users who want to support multiple companies must contact the SaaS Operations team.
