Exporting and emailing reports


This topic provides instructions on exporting and emailing reports.

You can export and email reports in the following formats:

  • CSV (for certain table- and list-based reports)
  • HTML
  • PDF
  • RTF

Exporting a report

  1. Within the report, click Export.

  2. Select the export file format (HTML, PDF, CSV, or RTF).

    Note

    The time it takes to export or email a report depends on the size and the format of the report being generated. PDF reports are generated much slower compared to the other formats.

  3. When emailing a summary type report, to include individual (usually per-device) details reports along with the overall summary report, select Include All Details. Because the number of details could be very large, it is limited by the Maximum Number of Details in Exported Reports system parameter.

    Note

    The Include All Details option is not available for the CSV export format.

  4. To hide sensitive data (for example, passwords) in a report that includes configuration data (alone or within transcript data), select Hide Sensitive Data.
    The referenced document [xwiki:Automation-DevSecOps.Network-Automation.TrueSight-Network-Automation.tsna251.TrueSight Network Automation 25\.1._Inclusion-Library._Common-terminology.WebHome] was not found. automatically enforces hiding sensitive data when reports are exported or emailed when the user's role has the Access Sensitive Data right denied (for more information, see Adding-or-editing-a-role). That is, the option to hide sensitive data appears only when you have the Access Sensitive Data right; otherwise, sensitive data is automatically hidden.
  5. (Applicable only for CSV format) To hide header and footer, select Hide Header and Footer.
    A CSV export without hidden header/footer includes the title and selection information as lines at the top, and the generation date/time in a line at the bottom, which can interfere with how the data is presented in a spreadsheet. Select to hide the header and footer when you want the spreadsheet to be more cleanly formatted.
  6. Click OK. The report is exported.

    If you selected to hide sensitive data and the base report (not the details reports) may contain sensitive data (as do the various search reports), the base report must be regenerated by the system before it can be exported. Thus such an export request can take much longer to complete. Note also that the regenerated base report contains current data, which might be different from the displayed data.

    If the report was originally generated in the background, the exported version is also generated in the background and is available for download on the Report Activity page. Exported reports appear with the Exported prefix in the Report column. The Details column shows the report export format.

  7. When the exported report is completed, click the report name to download the file to your browser.
  8. When the browser prompts you, choose whether to open or save the exported data file to a specified location.

Emailing a report

  1. Within the report, click Email.
    By default, the email will be sent to you.

  2. (Optional) To enter additional recipients or to remove yourself, click Ellipsis.png beside the To field and then select additional users or distribution lists, or enter adhoc email addresses.
  3. (Optional) In the Email dialog box, edit the default subject line.
  4. Select a format for the email (HTML, PDF, CSV, or RTF).
  5. When emailing a summary type report, to include individual (usually per-device) details reports along with the overall summary report, select Include All Details.   7. (Applicable only for CSV format) To hide header and footer, select Hide Header and Footer
  8. Click OK to generate the email.
    An event is logged in the Event Log confirming that the email was sent, or reporting an error if the email could not be sent.

Note

Sometimes, if Microsoft Outlook removes extra line breaks from the email body, the device filter parameters in the report summary are difficult to read. To change the formatting, click the following messages in the message header: We removed extra line breaks from this message > Restore Line Breaks.

If you want to retain or remove the line breaks permanently, use the Auto Remove Line Breaks feature in Outlook.
