Synchronizing assets
The Asset Synchronization page also provides synchronization details for you to examine such as the last successful synchronization date, the number of new assets discovered, and the number of updated assets since the last synchronization.
When executing a synchronization of assets, you can optionally set the asset owner for each asset.

Types of assets
The following table describes the types of assets:
Asset type | Description |

Managed assets | Assets which are connected to the network or have the BCM Agent installed |
Unmanaged assets | Assets which are never connected to the network or do not have the BCM Agent installed |

.Asset synchronization criteria
The following criteria apply for synchronizing assets:
Asset type | Criteria |
---|---|
Managed asset | All Managed assets have one unique identifier (other than Asset Id and Asset Name). This unique identifier is a combination of multiple Asset fields and is used to uniquely identify the Managed assets while synchronizing them. |
Unmanaged asset | Unmanaged assets do not have a unique identifier like Managed assets. Asset Name is used to uniquely identify an Unmanaged asset. |
(2021 Release 02) Synchronizing software titles
You can synchronize the software titles created or modified in BCM to Track-It!. A successful asset synchronization updates Track-It! with the list of newly created software titles or modifications made to existing software titles in BCM. After synchronizing your software titles, the following updates occur:
- All applications linked to a software title in BCM are synchronized in Track-IT!.
- All the applications linked to a software title in BCM are synchronized even if they are not present in Track-IT!.
- Applications linked to a software title in Track-It! but not linked to a software title in BCM are deleted from Track-It!.
- All licenses linked to a software title in BCM are synchronized in Track-IT! and license consumption data is displayed on the Software Title form in Track-It! in the following fields:
- Licenses Owned—displays the total number of active licenses linked to the software title
- Licenses Installed—displays the total number of licenses used by assets that have linked applications installed on them
- Unauthorized Assets—displays the total number of assets that are not authorized to use the license assigned to them
(2021 Release 02) Synchronizing software licenses
You can synchronize the software licenses created or modified in BCM to Track-It!. A successful asset synchronization updates Track-It! with any modifications made to existing software licenses in BCM. After synchronizing your software licenses, the following updates occur:
- All newly added licenses in BCM are added to Track-It!.
- All licenses modified in BCM are modified in Track-It!.
- All licenses deleted from BCM are deleted from Track-It!.
- The license type defined in BCM is applied to the Track-It! License Type and the Client Management License Type fields.
- If the license type defined in BCM is Other and the Track-It! License Type is a custom value, then the Track-It! License Type field value remains unchanged.
- If the license type defined in BCM is not Other, then the BCM license type is applied to the Track-It! License Type field.
- If the Track-It! License Type field is empty or null, then the BCM License Type is applied to the Track-It! License Type field.
- If the license type defined in BCM is Other and the Track-It! License Type is a custom value, then the Track-It! License Type field value remains unchanged.
- The PO Number field value defined in the Track-It! software license form is updated in the BCM software license form. If the PO Number field in Track-It! is empty or if the field value is deleted, then the value entered in the External PO number field in the Track-It! software license form is updated in the BCM software license form.
- (2022 Release 01) If the expiration date of a license has lapsed, its status is reset to Expired.
(2021 Release 02) Synchronizing assets
You can synchronize assets to software titles in Track-It!. A successful asset synchronization updates Track-It! with any new assets created or any modifications made to existing asset data in BCM. After synchronizing your assets, the following updates occur:
- All assets linked to a software title in Track-It! but not present in BCM are unlinked from Track-It!.
- All assets having applications installed on them and linked to a software title, are added to Track-It!.
- Assets present in BCM but not in Track-It! are not linked to a software title in Track-It!.
- All retired assets are unlinked from the software title.
Before you begin
- Make sure that BCM is configured. For successful SLM synchronization, the minimum required BCM version is 21.02.02.
- Make sure that the assets in the network have been discovered by the BCM scanner.
To schedule asset synchronization
- On the header bar, expand the hamburger menu
and select Configuration.
- Click Asset Management.
- Click Asset Synchronization.
The Asset Synchronization page is displayed. - On the Sync Schedule section, perform the following actions:
- Select Enable Scheduled Asset Sync.
- On Daily at, enter a time to schedule the asset synchronization.
- On the Set Asset Owner section, perform one of the following actions:
- Select Set Asset Owner if you want Track-It! to automatically set the asset owner as the PrimaryUserLogin detected by BCM.
- Select Do not set Asset Owner if you do not want Track-It! to set the asset owner.
- Click Save.
The page displays the synchronization results with details about the number of new assets discovered and number of assets that are updated.

To manually synchronize assets
You can manually execute a synchronization of assets at any time. Initiate a manual synchronization of assets from BCM to Track-It!.
- On the header bar, expand the hamburger menu
and select Configuration.
- Click Asset Management.
- Click Asset Synchronization.
- On the Set Asset Owner section, perform one of the following actions:
- Select Set Asset Owner if you want Track-It! to automatically set the asset owner as the PrimaryUserLogin detected by BMC Client Managment.
- Select Do not set Asset Owner if you do not want Track-It! to set the asset owner.
- Click Sync Now.
The page displays the synchronization results with details about the number of new assets discovered number of updated assets.
To automatically associate requestors as the owners of audited assets
You can automatically associate particular assets to requestors. In order to complete this task, the following conditions apply:
- The assets you want to associate are devices that are utilized by a specific Windows User ID.
- The assets you want to associate have been audited at least one time.
- The Self Service Information of the requestors you want to associate have Use Windows Authentication selected and contain a valid Windows User ID.
- On the header bar, expand the hamburger menu
and select Configuration.
- Click Asset Management.
- Click Asset Synchronization.
- On the Set Asset Owner section, select Set Asset Owner.
Click Sync Now.
Track-It! performs a snyc that includes populating the Primary User (Owner) Information for each asset where the following conditions exist:- BCM identifies a primary Windows User ID utilizing the asset
- A matching Windows User ID is discovered for a specific requestor
When both conditions are present, Track-It! populates the asset's Primary User (Owner) Information with the requestor's name.
