Dependency on Microsoft SQL login accounts

Warning

(2020 Release 03) The method of storing technician records has changed for Track-It! 2020 Release 03 and later. After upgrading to Track-It! 2020 Release 03 and later, all existing SQL login accounts for groups and technicians that were created during the initial Track-It! installation are removed. These SQL login accounts are no longer needed because we have redesigned the authentication process in Track-It! 2020 Release 03 and later. The table in the Login accounts section shows the SQL login accounts that are retained and required for Track-It! authentication.

This topic describes the SQL login accounts, their access levels, and how this structure provides high security for your data.

(2020 Release 03 and later) Track-It! does not create SQL login accounts in the following situations:

  • During and after Track-It! installation
  • When new groups and new technicians are created

Considerations

The following important considerations apply:

  • Track-It! does not create any SQL login accounts with admin access to the entire SQL server. This ensures that neither users nor the application can access anything on the SQL server apart from the Track-It! database.
  • The SQL login accounts created for individual technicians do not have admin rights for the server or the Track-It! database. The design allows high database level logging and control over each technician login, its access permissions to the application, various Track-It! modules, and Track-It! data.
  • The security design is based on a model that has been tested in other BMC products that use a similar architecture.
  • (2020 Release 03 and later) For a new installation, Track-It! does not create SQL login accounts for out of the box technicians and groups.
  • (2020 Release 03 and later) During upgrade, SQL logins are not removed if one of the following conditions exists:
    • The SQL logins are shared across database.
    • There are active connections with SQL Server Management Studio.
  • (2020 Release 03 and later) The following considerations apply to the DBLogin utility:

    • It works with Track-It! 2020 Release 03 and later. If you use the DBLogin utility with an earlier version of Track-It!, the following error message is displayed:
      The tool is designed to work with Track-It! 2020 Release 03 and later. Please ensure you are running the tool on the required Track-It! version.

    • It does not create SQL login accounts for new groups.
    • Except for SYSTEMACCOUNT and SELFSERVICE technician accounts, it does not create SQL login accounts for technicians.
    • It creates SQL login accounts for _SMSYSADMIN_ and _SMDBA_ users.

Login accounts

The following SQL login accounts are created and used.

Only the following SQL login accounts are created on a new installation of Track-It! and BMC Client Management (BCM) product.

Used for administrative purposes

The schema associated with this login account is used to create tables or views that only technicians with system admin permissions can access.

(2020 Release 03 and later) This SQL login account is created when Track-It! is newly installed.

_SMSYSADMIN_

Used for administrative purposes, such as creating technicians in the database

The account has the db_owner role on the Track-It! database.

(2020 Release 03 and later) This SQL login account is created when Track-It! is newly installed.

ADMINISTRATOR 1

The default technician login account

bcmdbuser

Created only when BCM is also installed

This login account has the db_owner, db_datareader, and db_datawriter roles on the BCM database.

HELP DESK 1

The default group

SELFSERVICE

Used when a requestor logs into self-service portal

(2020 Release 03 and later) This SQL login account is created when Track-It! is newly installed.

SYSTEMACCOUNT

Used for administrative purposes and has the SMSYSDBA role

(2020 Release 03 and later) This SQL login account is created when Track-It! is newly installed.

SYSTEM ADMINISTRATION 1 The default group

1 (2020 Release 01 and 2020 Release 02) Track-It! creates a new SQL login account whenever a new technician or group is created.
