The displayed language depends on your browser language. However, you can change languages from the Language menu.

Creating assets

The Asset Management module in Track-It! enables you to create and manage assets and assign them to tickets or assignments. As a technician, even if you do not have View permission for an asset, you can still link an asset to a ticket or assignment.

After you create an asset in Track-It!, the asset is updated in the BMC Client Management database. When you synchronize the assets, BMC Client Management updates the asset details in Track-It!.

  • You can view all the tickets or assignments associated with an asset in the Details section.
  • You can add financial information about the asset such as the vendor details, purchase details, expiration date and so on.
  • You can use the Additional Information field to enter notes about the asset.
  • You can create assets in BMC Client Management from Track-It!.
  • The lower pane of the Asset form that contains the Ticket, Assignments, and Asset Relations tabs is referred to as the Details section.
  • System administrators can customize the Asset form based on your business requirements.
  • System administrators can assign custom forms to groups, which can be used by technicians assigned to that group.

Key considerations

  • The Asset Name and Asset Type fields are mandatory.
  • You must select Allow Agent Actions (Audit, Remote Control) to enable the asset to be audited and remotely controlled.
  • If you retire an asset, it cannot be discovered again during asset discovery.
  • You cannot link assets to tickets or assignments from the Asset form. You can only link assets from the ticket or assignment form.
  • Do not include chevrons (<>) while naming an asset because this might cause database errors.

Creating assets

  1. On the header bar, expand the hamburger menu  and click Asset Management.
  2. On the header bar, from the ADD NEW menuclick New Asset.
    The New Asset form displays the fields related to assets.
  3. Enter details in the mandatory fields in the Asset form.
  4. Click Save Asset.

    Asset InformationAsset NameName of the asset. The name can be a combination of characters.
    Asset TypeType of the Asset, such as server, printer, workstation, and so on. If you manually modify the Asset Type, Track-It! reverts to the original type in next asset update.
    IP addressIP address of the asset, such as 194.50.68.255.
    Computer System DomainFull name of the domain to which the currently selected asset belongs to.
    Asset DepartmentName of the department to which the asset belongs to.
    Asset LocationName of the location to which the asset currently belongs to.
    Operating SystemName of the operating system installed on the currently selected asset.
    MAC addressMAC (hardware) address of the discovered device.
    Serial NumberWindows operating system displays the BIOS serial number. If the OS is Linux, this number is the equivalent of the hosted command. If the OS is macOS, this field displays the serial number of the asset.
    Retired AssetDetermine whether the asset is retired or not.
    Primary User (Owner) InformationOwner NameName of the owner of the asset.
    Owner EmailEmail of the asset owner.
    PhonePhone number of the asset owner.
    Alternate PhoneFax or alternate phone number of the asset owner.
    Owner DepartmentDepartment name of asset owner.
    Owner LocationLocation of asset owner.
    Asset Identification DetailsManufacturerManufacturer of the device.
    Asset TagService tag of the device.
    Audit DateDate on which the asset was last audited.
    Allow Agent functions (Audit, Remote Control)Check box that allows asset to be audited and controlled remotely.
    Financial SummaryP.O. NumberPurchase order number of the asset.
    VendorName of the vendor of the asset.
    Maintenance VendorName of the company that provides the maintenance for the asset.
    Date PurchasedAsset purchase date.
    Maintenance Exp. DateDate at which the maintenance contract of the asset runs out. This date must be later than the date of purchase.
    Warranty Exp. DateDate at which the warranty of the asset runs out.

    Information
    Additional information about the asset. You can enter information in this field.

Performing additional actions on an asset

After you save an asset, you can perform additional actions. Ensure that the asset is associated with an owner to link the asset to tickets and assignments.

To audit assets now

You can only audit one asset at a time. The value in the Last Audited Date field show the date on which the BMC Client Management Server was last audited.

  1.  On the header bar, expand the hamburger menu  and click Asset Management.
  2. To open an Asset form, double-click the asset.
  3. Click Audit Now.
    Track-It! rolls out the BMC Client Management on the device if it is audited for the first time.
    The audited information is updated to the Asset Management workspace grid.

To view asset details

  1. On the header bar, expand the hamburger menu  and click Asset Management.
  2. To open an asset form, double-click the asset.
  3. Click  View Asset Details.
    The Asset Details window displays the details including hardware, software, and security details.

To remotely control assets

Ensure that the browser used to establish remote control sessions has BMC Client Management as a trusted certificate authority and install the SSL certificate. For more information, see Installing SSL certificates. To ensure that an asset can be controlled remotely, ensure that the asset is discovered in Track-It!. You can remotely control Windows and Mac devices only. Currently, you cannot remotely control Linux devices.

  1. On the header bar, expand the hamburger menu  and click Asset Management.
  2. To open an asset form, double-click the asset.
  3. Click  Remote Control.
    Track-It! establishes a remote control session with the target asset.

To retire assets

You can choose to retire an asset that you no longer require. If you retire an asset you cannot audit, remotely control, or manage the asset.

Warning

A retired asset is not tracked, audited, or managed by Track-It!. Also, a retired asset cannot be activated again. We recommend that you remove the retired assets from the network if you do not want them to be discovered again.

  1. On the header bar, expand the hamburger menu  and click Asset Management.
  2. To open an asset form, double-click the asset.
  3. Click Retire.
    Track-It! retires the asset and it is no longer visible in the Asset Management workspace grid.

To view tickets associated with the asset

  1. On the header bar, expand the hamburger menu  and click Asset Management.
  2. To open an asset form, double-click the asset.
  3. In the Details section (lower pane of the form), select Tickets.
    The Tickets tab lists all the tickets that are associated with the asset.

To view assignments associated with the asset

  1. On the header bar, expand the hamburger menu  and click Asset Management.
  2. To open an asset form, double-click the asset.
  3. In the Details section (lower pane of the form), select Assignments.
    The Assignments tab lists all the assignments that are associated with the asset.
