Track-It! 2020 Release 03 online technical documentation is also available in the following languages:

  • French
  • German
  • Portuguese (Brazil)
  • Spanish
  • Spanish (XL)

The displayed language depends on your browser language. However, you can change languages from the Language menu.

Segregating data visible to groups

The Data Segregation utility enables you to segregate the data that a user can view based on the access rights for a particular group. For example, by using the Data Segregation utility, you can ensure that a technician from the Human Resources group cannot view the same data as a technician from the Finance group. By default, all groups can view data for other groups.

You can segregate the data for the following modules:

  • Tickets
  • Ticket Notes
  • Assignment
  • Assignment Notes
  • Solutions

Notes

  • You must perform an IIS reset after running the Data Segregation utility.
  • If you perform data segregation for assignments, the successors and predecessors assigned to other groups are still visible.

Before you begin

  • We recommend that you create a backup set of your data before running the Data Segregation utility.
  • Stop all services such as Email and the Job processor.

To segregate data visible to a group

  1. In the File Explorer, navigate to the location where you have installed the Track-It! application.
    For example, C:\Program Files(×86)\BMC\Track-It!
  2. Expand the Track-It! folder and then navigate to the Tools folder.
    You can see the BMC.TrackIt.Utilities.DBUtility file in the Tools folder.
  3. Double-click the BMC.TrackIt.Utilities.DBUtility file.
  4. In the Track-It! Data Segregation dialog box, from the DSN list, select Track-It.
  5. Enter your username in the User Name field and password in the Password field.
    (2020 Release 03) You can use Track-It! credentials, Windows Integrated Authentication (WIA), or Pass-through Authentication to log in to the DBUtility. If you are using WIA or Pass-through Authentication, enter your domain name and user ID in domainName\userID format.
  6. Click Connect.
  7. In the Record Segregation section, to add a group who can view the data, perform the following actions:
    1. From the Group list, select a group whose data you want to share with other groups.
    2. Select an appropriate module, such as Ticket.
    3. Click Add Group.
    4. In the Available Groups for Adding dialog box, select an appropriate group.
    5. Click Add.
  8. (Optional) Repeat this process for each additional module for which you want to add.
  9. To remove a group from viewing the data, perform the following actions:
    1. From the Group list, select a group whose data you want to stop sharing with other groups.
    2. Select an appropriate module, such as Ticket.
    3. Click Remove Group.
    4. In the Available Groups for Removing dialog box, select an appropriate group.
    5. Click Remove.
  10. (Optional) Repeat this process for each additional module for which you want to restrict.
