Managing assets in the Mobile App

The Asset module in the Track-It! Mobile App enables you to create or scan assets and assign them to owners. After you create an asset in the Track-It! Mobile App, the asset is updated in the BMC Client Management database. When you synchronize the assets, BMC Client Management updates the asset details in Track-It!.

Key considerations

  • To use the Asset module in the Mobile App, you must have View, Create, and Edit permissions.
  • When creating a new asset, the Asset Name and Asset Type fields are required.
  • After you create an asset, the asset record remains open in edit mode, and you can edit any of the fields.

Scanning assets

The Asset module in the Track-It! Mobile App enables you to:

  • Create a new asset or access an existing asset by scanning the barcode of the asset using the camera of your mobile device
  • Automatically populate the Asset Tag and Serial Number fields when creating a new asset

After you create an asset in the Track-It! Mobile App, the asset is updated in the BMC Client Management database. When you synchronize the assets, BMC Client Management updates the asset details in Track-It!.

Before you begin

The first time you use the Scan Asset feature of the Mobile App, your mobile device is automatically registered to an available barcode license.  After registration, you can use the Scan Asset feature with your mobile device for as long as you desire.  If at any time you want to un-register and retire the mobile device from utilizing the Scan Asset feature, you can release and retire any registered mobile device from its barcode license by un-registering it. For more information, see Applying a license file.

Additionally, the first time you use the Scan Asset feature, you are prompted to grant the Track-It! Mobile App access to your camera on your mobile device.

To scan assets in the Mobile App

  1. Select hamburger menu  > Asset.
  2. Tap Scan Asset.
    The Scan Asset Tag screen displays the view from your mobile device camera.
  3. Aim the mobile device camera at the Asset Tag or Serial Number barcode of the asset you want to scan.
    The following table describes the results:

    The Mobile App captures the barcode and displays one of the following results:

    • If the asset tag does not exist in the BMC Client Management database, the Create Asset screen displays and populates the barcode number in the Asset Tag field.
    • If the asset tag exists in the BMC Client Management database, the Edit Asset screen displays the corresponding asset record.
    • If the asset tag exists in multiple records in the BMC Client Management database, the Asset Names screen lists the assets with the corresponding barcode number.  From the list, you can tap any record to view or edit its fields.

  4. Perform one of the following actions:
    • If you are creating a new asset, specify values for the required fields of Asset Name and TrackIt! Asset Type as well as values for any of the optional fields, and then tap Save.
    • If you are editing an asset record, edit the values for the fields as needed, and then tap Save.

    The Track-It! Mobile App saves the asset to the BMC Client Management database.

    Note

    The Asset Name field is a unique field. If the Asset Name you entered already exists in the BMC Client Management database, when you tap Save you will be prompted to confirm that you want to edit the existing asset. By tapping Yes, the following actions are performed:

    • The Asset Tag barcode value is retained.
    • Any values that you entered in the fields prior to tapping Save are discarded.
    • The record for the existing Asset Name is displayed.
  5. When finished editing or specifying field values for the asset, tap  to return to the Asset module features display, where you can scan the next asset or perform another task in the Mobile App.

    Note

    After tapping , you can access a newly created asset record in the Mobile App only by using the Scan Asset feature.

Creating assets

  1. Select hamburger menu  > Asset.
  2. Tap Create Asset.
  3. The Create Asset form displays the fields related to assets.

    Field name  Description
    Asset TagService tag of the device
    Serial Number

    BIOS serial number that the Windows operating system displays

    If the OS is Linux, this number is the equivalent of the hosted command. If the OS is macOS, this field displays the serial number of the asset.

    Asset Name*Name of the asset The name can be a combination of characters. However, some characters are not allowed. For example, periods, slashes, colons, asterisks, quotes, questions marks, arrows, lines, and apostrophes (. / \ : * " ? < > | ').
    Track-It! Asset Type*

    Type of asset

    For example, a server, printer, or workstation.

    LocationName of the location to which the asset currently belongs.
    DepartmentName of the department to which the asset belongs.
    OwnerName of the owner of the asset.
    *Indicates that the field is required.
  4. In the Asset Name field, specify a name for the asset.
  5. In the Asset Type field, perform one of the following actions:
    • Specify the asset type by using the keyboard of your mobile device.
    • Tap  to select the type from a list of defined Asset types.
  6. (Optional) If you want to scan the barcode to complete the Asset Tag or Serial Number fields, perform the following steps:
    1. Tap  .
      The Scan Asset Tag screen displays the view from your mobile device camera.
    2. Aim the mobile device camera at the Asset Tag or Serial Number barcode of the asset that you want to scan.
      The Mobile App captures the barcode and populates it into its corresponding field.

      Note

      When scanning an access tag, the Track-It! Mobile App checks for the existence of that asset tag in the BMC Client Management database. If the asset tag already exists in the database, the Mobile App populates its value into the Asset Tag field.


  7. (Optional) Specify values for any of the optional fields.
  8. Tap Save.
