Creating an archive view to look at data in archived forms

To see data from archived forms, you must create an archive view based on the existing view. This topic describes how to look for an archived form, and then create a new view for this archived form. You can also create a join in the new view you create.

The following video (6:37) describes how you can create a join in a new view in BMC Helix ITSM: Smart Reporting(Smart Reporting).

The example in this topic creates an archive view for the Incident Management view.

Make sure you have set the Archive Process Policy for the required forms. For more information about archiving process policies, see Managing the Archiving process policies .

To create a view from archived forms

  1. Log in to Mid Tier as a reporting administrator.
  2. From the Applications menu, select Smart Reporting > Smart Reporting console.
  3. On the Smart Reporting console, select Administration > Admin Console.
  4. Click Views, and open the view for which you want to create an archive view.

  6. From the IT Home Page, select Applications > Smart Reporting console > Smart Reporting console.

    .yfx file is created.
  9. Unzip the .yfx file.
The unzipped folder has the exported XML file.
  10. Edit the exported XML file:
    1. Replace all occurrences of the form names with their corresponding archive form names.
For example, replace TMS:Task with TMS:Task_Archive.
    2. Replace the View Name with the new archive view name.
For example, replace Incident Management View with Incident Management Archive View.
  11. Save the XML file.
  12. Create a new view by importing the XML file into Smart Reporting.
  13. To make sure that the archive view is set up correctly, create a test report using the archive view, and check the report data against the AR System data.
