Setting up drill through reports

By using the drill through reports, you can click a hyperlink and move from one report to another, typically to show more detail. Values related to the row that is clicked are passed as parameters to the linked report to filter the data. Drill through links work on table data and chart data.

When you select Drill Through when creating a report, it displays fields with a hyperlink on them. When you click the hyperlink, a new report with more details is displayed. You can return to the parent report by clicking the Return to Report link.

Tip

When creating related reports for drill through or co-display, plan the reporting outcome that you are attempting to achieve. Use one of the following methods:

  • Plan Top Down—Determine which report will be your starting point. For example, to deliver a report of sales by region, you might drill into sales by sales person for a selected region.
  • Build Bottom Up—Determine the necessary reports you will need, and build them from the bottom up. The last report you write is the report that you want as the entry point.

To have a drill through report, the child must have at least one user prompt filter, and the same data must exist on the parent report. For example, the filter is based on Last Name, so you must have the Last Name field on your report.

To create a drill-through report

  1. On the Data page of a report, under Analysis style, select Drill Through.
  2. Click the Related Content tab that appears at the top of the page when you select Drill Through.
  3. From the panel on the left, search for the child report, and drag it into the Drill Through box in the middle of the screen.
  4. In the panel on the right, complete the fields for the selected drill through report.
    1. Under Join Type, select Drill Through.
    2. Under Joins, select the fields you want to link from the parent report to the child report.
      For drill through to function, ensure that the relevant fields exist on the parent report that match the data required by the child report filters. A master field contains the value to be passed through to the child report filter. In a drill through report, at least one field from the parent report must provide a filter for the child report.
      If corresponding parent fields do not exist, return to the report Data page and insert a field to allow a link to occur.
      The fields that are displayed are those that the child report requires as USER PROMPT FILTERS. Instead of a user completing a prompt, Remedy Smart Reporting automatically passes these variables through when linking to the new report.
    3. Under Options, select the field that gets displayed as a hyperlink to link the reports. 
      Select the field that will be most intuitive to the report users. The linked field does not have to be critical in terms of passing data from one report to another.
    4. If you want the new report to open in new window, select Popup New Window.
      If you do not select the check box, the report opens on the same page, replacing the original report.
      If you select the check box:
      • No additional drill down or drill through is possible on the pop-up report.
      • No co-display reports are displayed. For example, if you are drilling to a report with multiple related reports, only the master report is displayed.
    5. Click Update.

Drill through on a cross-tab report

When creating drill through on a cross-tab report, ensure you include the column and row attributes in the drill through linked attributes. For example, a cross-tab report includes the following rows and columns:

Any drill through must include the Country and the Year included in the filter options. If you drilled through on only one value, for example, Country, you would be selecting multiple records such as 2001 and 2002, which can confuse the user. If Country and Year are both included in the filter options, when the user clicks a value, Remedy Smart Reporting passes the correct parameters to the child report.

To create a conditional drill through report

  1. On the Data page of a report, under Analysis style, select Drill Through.
  2. Click the Related Content tab that appears at the top of the page when you select Drill Through.
  3. From the panel on the left, search for the child report, and drag it into the Drill Through box in the middle of the screen.
  4. In the panel on the right, complete the fields for the selected drill-through report.
    1. Under Join Type, select Conditional Drill Through.
    2. Under Joins, select the fields that you want to link from the parent report to the child report.
      For drill through to function, relevant fields must exist on the parent report that match the data required by the child report filters. A master field contains the value to be passed through to the child report filter. In a drill-through report, at least one field from the parent report must provide a filter for the child report.
      If corresponding parent fields do not exist, return to the report Data page and insert a field to allow a link to occur.
      The fields that are displayed are those that the child report requires as USER PROMPT FILTERS. Instead of a user completing a prompt, Remedy Smart Reporting automatically passes these variables through when linking to the new report.
    3. Under Options, select the field that will be the hyperlink that links the reports.

    5. Under Apply Condition, select a report field and add an equal to value.
      From the example above, you can add Country in the Where Field field, and Australia in the In list field. You can now drill through for fields that have Australia as the Country.
    6. Click Update

To create a link to report

By using the Link To reports, you can link a chart to a more detailed report, without the need for shared fields or filters.

Note

The parent report must have a chart.

  1. On the Data page of a report, under Analysis style, select Drill Through.
    Make sure that the report includes a chart.
  2. Click the Related Content tab that appears at the top of the page when you select Drill Through.
  3. From the panel on the left, search for the child report, and drag it into the Drill Through box in the middle of the screen.
  4. Under Join Type, select Link To.
  5. If you want the new report to open in new window, select Popup New Window.
    If you do not select the check box, the report opens on the same page, replacing the original report.
    If you select the check box:
    1. No additional drill down or drill through is possible on the pop-up report.
    2. No co-display reports are displayed. For example, if you are drilling to a report with multiple related reports, only the master report is displayed.
  6. Click Update.

To create a conditional direct link report

By using the conditional direct link reports, based on an applied condition, you can link a report or chart to a more detailed report, without the need for shared fields or filters.

  1. On the Data page of a report, under Analysis style, select Drill Through.
    Make sure that the report includes a chart.
  2. Click the Related Content tab that appears at the top of the page when you select Drill Through.
  3. From the panel on the left, search for the child report, and drag it into the Drill Through box in the middle of the screen.
  4. Under Join Type, select Conditional Direct Link.
  5. Under Options, select the field that will be the hyperlink that links the reports. 
    Select the field that will be most intuitive to the report users. The linked field does not have to be critical in terms of passing data from one report to another.
  6. If you want the new report to open in new window, select Popup New Window.
    If you do not select the check box, the report opens on the same page, replacing the original report.
    If you select the check box:
    1. No additional drill down or drill through is possible on the pop-up report.
    2. No co-display reports are displayed. For example, if you are drilling to a report with multiple related reports, only the master report is displayed.
  7. Under Apply Condition, select a report field and add an equal to value.
    From the example above, Country could be added in the Where Field field, and Australia could be added to the In list field. Then, users could drill through for fields that have Australia as the Country.
  8. Click Update.
