Broadcasting reports through tasks


Rather than creating an email broadcast, you can schedule a task to be assigned to a user or group, and then attach the report content to the task.

To broadcast a report through a task

  1. Ensure your report is active (not in Draft mode).
  2. Click the Broadcast button in the main navigation menu.

  3. Click Create New,  and select Smart Task.
  4. In the Smart Task window, complete the following fields:

    Field

    Description

    Title

    Title for the task.

    Requester

    The user who is the requester for the task.

    Task Description

    Description of the task.

    Assignee

    The Remedy Smart Reporting user or group assigned to the task. A task can only be sent if at least one assignee is defined.


    Subscribers

    The users you want to notify about the task, but they are not assigned to the task.

    Priority

    The tasks's priority. The options are: Low, Medium, and High.

    User Prompt Filters

    (Available if your report contains filters) The filter that is applied to the broadcast report. The options are:

    • Current Filter Values
    • Default Filter Values

    If your report uses Source Filters, the broadcast report will be filtered by the source filter as well as the filters defined above. If the report is sent to an external email address, rather than a defined Remedy user, the recipient will inherit the source filter from the user who defined the broadcast.

    Add Alert Delivery Rules

    Sets a delivery rule and sends the report only if it meets certain criteria (for example, Revenue is less than 100,000). To add a delivery rule, complete the following steps:

    1. Click Add Delivery Alert Rules.
    2. Select one of the Alert Data options:
      • One or more must match—For example, there is at least one transaction less than $1000.
      • Aggregate against entire result set—The total sales are less than $100000.
    3. Complete the fields in the Delivery Rule section.
    4. Click Submit.

    Frequency

    Frequency of sending the reports. Depending on the option selected here, you may be required to provide further details. For example, if you select Fortnightly, you are prompted to select the first or second week of the fortnight to send in, as well as the day of the week. For more granularity in the schedule, click Advanced settings.

  5. Click Submit.
