What you can and cannot encrypt
Shield Platform Encryption allows you to encrypt certain fields, files, and attachments that are stored in the App Cloud. In contrast to Classic Encryption, which uses a custom field type in the Salesforce data model, Shield Platform Encryption allows you to encrypt the following:
- Standard fields
- Certain custom fields
- All files and attachments

For example, you can encrypt the data at rest for the Description field of the Incident module of Remedyforce as the the Description field is of type Text area (long). |

Under Exceptions, you’ll find a number of fields you may not be able to encrypt because they are referenced in custom formula fields or they are used in a way within our Remedyforce code that currently isn’t supported by Salesforce.
In Salesforce Spring 17, Salesforce has introduced a new feature called “Retrieve Encrypted Data with Custom Formula Fields (Beta)”. This feature has to be turned on at the request of the customer (in other words, a case has to be opened with Salesforce requesting the feature be turned on). While we cannot comment on Salesforce’s future plans as it relates to this feature, this document approaches our Platform Encryption testing as though the feature is enabled. If you do not have the feature enabled, the fields listed under Exceptions may very well encrypt for you.
Client information
Remedyforce client information is primarily stored in the Users
object of Salesforce. At this time, Salesforce does not support encryption of data at rest for the User
object (with the exception of custom fields meeting the data type requirements). Additionally, if you are using Contacts as clients, there are some standard fields that Salesforce supports for encryption. For more information, see the Salesforce Help.
The account information is stored in the Accounts
object. If you want to encrypt the Account Name or Contact Name field, contact Salesforce to enable encryption for fields referred in Use Encrypted Fields in Formula Fields.
To enable encryption of client information, get the following limits increased in your Salesforce organization by raising a case with Salesforce:
- Number of formulas that can be visited when performing custom Formula field validation for encryption enablement increased to 1000
- Number of formulas that can be loaded when performing custom Formula field validation for encryption enablement increased to 500
Email conversation history
Email conversations are sent and received in rich text format. When an email message is sent or received, the message is saved as a record in the <Module Name> History
object. There are two fields that store the data - Note and RichTextNote. Because Salesforce does not support encryption of rich text formatted fields, when you enable support for Salesforce Encryption in Remedyforce, no data is saved in the RichTextNote field. Data is saved only in the Note field that supports encryption.
All outgoing Rich Text email messages will be received by recipients in Rich Text Format. Only when these email messages are stored in the <Module Name> History
objects, the message is saved in plain text if you have encrypted the Note field. If you do not encrypt the Note field, email messages continue to be saved in both the Note and RichTextNote fields.
Input fields of service requests
You can either encrypt all input fields or none. Input fields of a service request (or service request definition) are saved in the following fields of the Request Detail Inputs
object:
- Response
- New Response
- Stored Value
When you map these fields to fulfillment template fields, BMC recommends the following points:
- If you are encrypting input fields, ensure that you map these fields to an encrypted field.
- Do not map encrypted fields to a field of type Text Area (Rich) because such fields are not encrypted.
You cannot encrypt data in fields of type Text Area (Rich). Therefore, if you want to encrypt data in fields of type Text Area (Rich), add new input fields of type Text or Text Area to get the same information from client.
On the Remedyforce Administration > Application Settings > General Application Settings page, in the Salesforce Platform Encryption section, when you click Encryption Impact Report, you get a report that provides a list of Text Area (Rich) type fields that you are using in the Remedyforce Console and input fields of SRDs. What you cannot encrypt

Data and metadata
Metadata is a set of data that describes and gives information about other data. We like to say it’s “data about data”. Remedyforce utilizes a number of objects that support the Remedyforce metadata. We recommend that you do not encrypt any fields associated with our metadata as doing so can cause failures.
The following list outlines the objects where we do not support Platform Encryption at this time. These objects fall into one of the three buckets:
- Metadata: This is data that is necessary for other functions within Remedyforce.
- No longer used: These are objects that were part of earlier versions of Remedyforce (more specifically CMDB 1.0) that are no longer used.
- No encryptable fields: The fields that make up the object are not encryptable at this time.
Note that this list is subject to change and we have done our best to accurately document a complete list of objects that currently are not supported with Salesforce Platform Encryption.
