Creating and accessing content in BMC Remedy Smart Reporting

Once you know your way around the system you will need to learn how to create various types of content and access it.

The following topics explain how to build each type of content.

Accessing content

There are several ways you can access your content in BMC Remedy Smart Reporting. 

Dashboard

The BMC Remedy Smart Reporting dashboard is your personal reporting portal. You can view all your key reports on a single page. The dashboard allows you to switch between tabs to view subject related reports, search your corporate repository for dashboard enabled reports, and add them to your selected tab or access a corporate tab.

Browse Page

The Browse Page is one of the main ways to find and run reports in BMC Remedy Smart Reporting. It displays all the reports for which you have access and allows you to add these documents to your favorites, providing you with a short cut to the most used reports. The Browse Page option also allows you to explore all the content for which you have access in the system. From this central location, you can locate individual reports, dashboard tabs, storyboards, and discussion streams in order to interact with them.

Display

There are two display layouts available for Browse Page—Thumbnail and List. You can decide which layout you want to use.

  • ThumbnailsThe Thumbnail layout allows you to explore your content using a gallery type display. Each piece of content displays a thumbnail, either generated from its display (in the case of reports and dashboard tabs), from its assigned thumbnail image (in the case of storyboards and discussion streams), or a generic thumbnail icon (in the case of content that has not been run yet or been assigned an image). 
  • ListThis List layout allows users to explore their content using a text based display. Each piece of content still has a thumbnail associated with it, but in order to view it, you must view content information through the activity stream panel. The list view generally allows users to view more pieces of content on the screen at any one time, making bulk actions easier to perform.

Columns

The list view allows you to select what information you want to display on the page through the columns menu. As you interact and act on the content in a different way, unique groupings of columns allow you to make the most of this page. 

When exploring and locating the content on the Browse Page, there are several components that will allow you to easily narrow down your list.

Content Types

The list in the search box allows you to restrict the types of content you explore on the Browse Page.

AllAllows you to view all types of content available, including Dashboard tabs, Discussion Streams, Reports, and Storyboards.
DashboardsRestricts the content you are viewing only to the Dashboard tabs that are available to you.
DiscussionRestricts the content you are viewing only to the Discussion streams that are available to you.
ReportsRestricts the content you are viewing only to the Reports that are available to you.
StoryboardsRestricts the content you are viewing only to the Storyboards that are available to you.

Sort By

The Sort By list allows you to define the property that the content is ordered by on the Browse Page.

Sort TypeDescription
NameArranges the content in alphabetical order based on its name.
RecentArranges the content based on the date it was last accessed, starting from the most recent.
My FavouritesArranges the content, prioritising any items that you have nominated as your favourite.
CommentsArranges the content, prioritising items by the number of comments associated with them, with most comments displayed first.
ViewsArranges the content, prioritising items by the number of user views that they have, with most viewed displayed first.

Lists

The My Content list allows you to restrict the items that you view on the Browse Page by some predefined content lists.

Content ListDescription
AllAllows all content that is available to you to be displayed, only restricted by your search, content type, and sort options.
DraftAllows you to restrict the content that is displayed to only draft items, hiding all active content.
My FavouritesAllows you to restrict the content that is displayed to only those items that you have nominated as your favourites, hiding all other content.
Personal BroadcastsAllows you to restrict the content that is displayed only to reports that you have set up a personal broadcast to, hiding all other content.
RecentAllows you to restrict the content that is displayed only to those items that have been accessed in the last x days, hiding all other content.
Hidden

Allows you to restrict the content that is displayed only to those items that have been nominated as hidden from the Browse Page.

Note: A specific role permission is required to see and use this function.

Folders/Data Source

This option allows you to toggle between browsing content by its storage location and its data source.

Parent TypeDescription
FolderAlows you to browse content by navigating through the folder structures that they are stored in. You will only see folders that you have access to.
Data SourceAllows you to browse content by navigating through the data source list. You will only see sources that you have access to.

Actions

Once you locate the required content, there are a range of actions you can perform, either on a single item or sometimes on multiple items.

Mouse actions

There are three different mouse actions that can be performed on the Browse Page to interact with the content.

Single clickAllows you to select an item. If you hold down Shift or Control/command on your keyboard, you will be able to select multiple items.
Double clickAllows you to open a single piece of content from the Browse Page. Double-click the item you want to open.
Right click

Allows you to open the menu for the content from the Browse Page. Right click on the item you want to open.

This is an alternative to selecting the item and opening the menu via the triple dots icon.

Menu

Selecting one or more items will allow you to use the triple dots menu icon to access the content menu and perform actions.

Allows you to delete selected pieces of content from the system.

New Folders

When using the Folder List option on the Browse Page, you will be able to add new folders when needed. Follow the steps given below to create a new content folder:

  1. Hover over an existing folder and click the icon.
  2. Click New.
  3. Define if this is a Folder or a Sub Folder. 
    • Folder—Used as a container for sub folders that does not directly hold content. Do not change the default Folder Hierarchy option (Top Level).
    • Sub Folder—Used as a container for content and can have security and other content-related settings applied. Select a Parent Folder to place this Sub Folder into.
  4. Define the following advanced options:
    1. Folder—Enter the Sort Order value, if you do not want the folder to be sorted alphabetically. Specify the value as 0 for standard sorting.
    2. Sub Folder—Enter values for the following:
      1. Sort Order—Enter the Sort Order value, if you do not want the folder to be sorted alphabetically. Specify the value as 0 for standard sorting.
      2. Draft Content Default Folder—Enter if this folder will be used to store all draft content until it is saved initially. There can only be one of these folders in the system.
      3. Max Size—Enter the amount of storage available (in KB) for caching content in this folder.
      4. Max Versions—Enter the number of historical result sets that will be accessible, per report.
      5. Max Age—Enter how long the historical result sets should be stored before they are deleted.
  5. (For Sub Folder only) Enter the following User Access settings:
    1. Expert Approval—Select if you want an expert to approve the publishing into this folder.
    2. Folder Security: 
      1. Unsecure—Select this option if you want to use this folder like a public folder for users that have logged in.
      2. Public—Select this option, if you want all users with functional access to reports, dashboards, and/or storyboards to be able to see the content stored in this folder.
      3. Private—Select this option, if you want only the specified users to be able to see and interact with the content stored in this folder, based on the level of access specified.
  6. Click Submit to create the folder.

Activity Stream

Click on the information icon when a single piece of content has been selected. This allows you to open the Activity Stream, which provides a range of different information related to the content, its event activity, and comments.

Left side navigation

This navigation style was introduced in BMC Remedy Smart Reporting as an alternative to the traditional toolbar. The main system areas can be accessed via the collapsible panel on the left of the page, outside of BMC Remedy Smart Reporting builders such as Report, Storyboard, and View Builders.

Timeline

The timeline is used to view the event information around selected users and/or types of content.

My Content

Display

The My Content panel provides you with quick access to key pieces of content. There are two different forms on this panel that is defined by a Configuration Item:

  • Left side navigation panel
  • Dashboard (left and right)

To change the way the My Content panel is displayed, go to Administration > Content Settings > Dashboard (tab) and adjust the My Content Location setting.

Contents

The My Content panel contains access to the following groups of content:

Item

Description

My Favourites

List of the content that you have set as 'favorite'.

Drafts

List of the last five drafts (content) that you have accessed.

Recently Accessed

List of the recently accessed content that is currently Active.

My Favourites

The favourites list is unique for every user. Rather than having to search for frequently used content, you can add these to your list of favourites. This allows quick and easy access to the content as required.

Adding to Favourites

You can create your own list of favourites in BMC Remedy Smart Reporting:

  1. For a Dashboard—Add a Tab to your Dashboard. It is automatically added to your favourites.
  2. For a Report—View the Report and click on the Star icon on the Report Menu. It changes to blue color and is added to your favourites.
  3. For a Storyboard—View the Storyboard and click on the Star icon on the panel at the bottom of the page. It changes to blue color and is added to your favourites.
Deleting from Favourites

You can remove an item from your list of favourites in BMC Remedy Smart Reporting:

  1. Dashboard—Delete the Dashboard Tab from your Dashboard, using the menu on the tab.
  2. Report—View the Report and click on the blue colored Star icon on the Report Menu. The color changes to grey and is removed from the favourites list. You can also click Delete when viewing the Favourites list through the Left Navigation Panel
  3. Storyboard—View the Storyboard and click on the blue colored Star icon on the panel at the bottom of the page. The color changes to grey and is removed from the favourites list. You can also click Delete when viewing the Favourites list through the Left Navigation Panel

Drafts

The Draft list displays the content that is currently in draft mode with the most recent at the top of the list. Click on the content to view it in edit mode or click Delete to remove the content from the system.

Recently Accessed

The Recently Accessed list displays the content that you have been working with or viewing, with the most recent at the top of the list. Click on the content to view it.
