Sharing reports via email in BMC Remedy Smart Reporting

In BMC Remedy Smart Reporting, you can send public reports via email to other registered users or external parties. Report sharing is useful as the recipients of shared reports can view the latest report results via BMC Remedy Smart Reporting.

  • Report sharing via email is possible only for active reports. 
  • Draft reports cannot be emailed. 
  • Save your report prior to sending.


To cross-launch a shared report to BMC Remedy Mid Tier

Before sharing reports with users via email, BMC Remedy Smart Reporting super admin must enable cross-launch to BMC Remedy Mid Tier for shared reports. When users click a shared report link from their inbox, BMC Remedy Mid Tier login page opens. Users have to enter their BMC Remedy Mid Tier credentials to view the shared report results. 

If you do not enable cross-launch to BMC Remedy Mid Tier for shared reports, when users click a shared report link from their inbox, an error message is displayed.  

To cross-launch a shared report to BMC Remedy Mid Tier, super admin must perform the following steps before sharing a report via email. 

  1. Navigate to Administration > Configuration > System > General Settings.
  2. (Only if load balancer is used) In Default org, replace the node name in the External Instance Base URL with the load balancer name. For example, change http://<nodeName>:<port>/AdminConsole/sharereport.jsp with https://<loadBalancerName>/AdminConsole/sharereport.jsp

  3. Save your settings.
  4. In Client org, navigate to Administration > Configuration > System > Custom Parameters.
  5. Update the following parameters:

    Custom parameterValue
    MIDTIERThe Mid Tier host name.

    For a stand-alone installation of Smart Reporting: hostName:portNumber
    For a cluster installation of Smart Reporting: Name of the Load Balancer
    PROTOCOLhttps or http, based on your configuration.
  6. Click Save.
  7. Log in to BMC Smart Reporting Admin Console as a super admin.
    For this, log on to the BMC Remedy Mid-Tier as a Smart Reporting administrator. From the Mid-Tier, navigate to the Smart Reporting Console and choose the Administration tab and click Admin.
     
    Alternatively, you can directly access Remedy Smart Reporting Admin Console by accessing the Console URL. For example, http://<hostname>:<port>/AdminConsole.
  8. To update the MIDTIER and PRTOCOL values in the database, click Enable report sharing via URL in the Utility section of the Home page.

    Note

    Running the Enable report sharing via URL utility is a one-time activity. However, you must run this utility whenever you update the MIDTIER and PROTOCOL custom parameters.

To share reports via email

After enabling cross-launch to BMC Remedy Mid Tier for shared reports, you can share the report with internal or external users. Perform the following steps to share a report via email:

  1. To distribute an active report, click Share on the active report menu. The Share window opens with the options - Distribute and Email. 
  2. Click Share Settings and set Email to On.
    To share the report with external users, ensure that you have set the Share Settings > Email & Broadcast Security to Unsecured.

  3. Click Back to share.
  4. On the Share window, click Email
  5. To select recipients, click + Add Recipients and either search for BMC Remedy users and groups or enter the names of recipients in the search box. Additionally, you can also share the report with external users by adding their email addresses in the recipients search box. 

    Note:

    Reports are distributed to users if they have the appropriate level of access for the report.


  6. Select the format for the report to be shared. The available formats are - HTML, PDF, CSV, DOC, XLS, RTF, and TXT.
  7. Enter a message for the the recipient of the email. 
  8. Click Submit.
