Exercise 1 - Define the Distribution list request service fulfilment workflow


With the use case fulfillment information above, we can now design the process workflow with the following input process variables:

  • Display Name
  • Administrator Email
  • Alternate Administrator Email 1
  • Alternate Administrator Email 2
  • Description

The process flow works as follows:

  1. First activity is the out-of-the-box Digital Workplace Manager Approval Process
  2. If the Manager approves the BMC Helix Digital Workplace Request, then the flow proceeds to the Create a Work Order activity and ends when the Work Order is closed
  3. If the Manager does not approve the flow ends

For this use case all 5 of the input variables have been concatenated within the Work Order Description field. The following are additional suggestions that can be implemented to enhance the fulfillment use case:

  • Use of a Work Order Template to populate additional fields such as the Operation and Product Categories as well as other attributes supported by the Templates
  • Addition of the Operational and/or Product Categories directly in the mapping of the process flow.
  • Use of specialized fields on your Work Order form (if you have configured your form to store additional information) to capture the input fields from the process flow. That is, you can map these fields to their respective fields on the Work Order form, instead of concatenating them together within the Description field.
