Loading and verifying Remedy ITSM Foundation data

After completing all the steps in Phase 1: Preparing to load Foundation data from Remedy ITSM, you can load and verify Remedy ITSM Foundation data in BMC Helix Platform. You must load the Foundation data in the following sequence:

  1. Load and verify Foundation data
  2. Load and verify Foundation associations
  3. Load and verify custom Foundation data

This topic describes the tasks to load and verify Foundation data. 

Note

You can load Foundation data from Remedy ITSM Suite version 9.1 SP3 or later. For a complete list of compatible Remedy IT Service Management versions, see Foundation data load compatibility information.

Best practices

  • The data load operation is memory intensive and any uploads that run longer than one hour are not processed.
    To avoid errors in loading Foundation data, BMC recommends that you load one spreadsheet at a time in the sequence shown in the following image:
     
  • All Foundation data is processed from Excel spreadsheets in chunks of 100 rows. 
    If there is any error in any one of the 100 rows, each remaining row from the chunk is processed individually.

Task 1: To load the Cities Foundation data

You must load the City Foundation data in BMC Helix Platform before loading the Foundation data from Remedy ITSM. The cities are not loaded to BMC Helix Platform during initial data load, and will display blank values. 
If there is any Foundation data that uses Geography data for cities, you must first load the cities Foundation data in BMC Helix Platform.

To load the Cities Foundation data, perform the following tasks:

  1. Download the All Cities.xlsx or Sample Cities.xlsx template spreadsheet.
  2. Update the spreadsheet with Foundation data.
  3. Upload the updated spreadsheets.
  4. Run the data load process from BMC Helix Innovation Studio.

Task 2: To start the initial data load from Remedy ITSM

The Foundation data is loaded in the following order: 1) Company, 2) Person, 3) Location.

  1. Log in to BMC Remedy IT Service Management console as an ITSM administrator.

  2. From the Applications menu on the IT Home Page, select Administrator Console > Application Administration Console.

  3. From the Application Administration Console, select Custom Configuration > Foundation > Innovation Suite > Configure Foundation SYNC.

  4. In the STEP 2 - Initial Load (Core Foundation Data) area, click Start Initial Data Sync.

    The ITSM Foundation data is transferred to Microsoft Excel spreadsheets, and these spreadsheets are uploaded to BMC Helix Platform. The time it takes to generate the Excel spreadsheets is dependent on the volume of Remedy ITSM Foundation data. 

    Note

    Each Excel spreadsheet can contain up to 50,000 Foundation data records. If a spreadsheet contains more than 50,000 Foundation records, a new Excel spreadsheet is automatically created with the remaining Foundation data, such as CompaniesCustomer_0, CompaniesCustomer_1, and so on.

    The following image shows an example of starting the initial load of Foundation data from Remedy ITSM:

Task 3: To verify that all Excel spreadsheets are uploaded to BMC Helix Innovation Studio

  1. Log in to BMC Helix Innovation Studio as an administrator.

  2. On the Workspace tab, click the Data Management Console application. 

  3. Click Visit Deployed Application > Data Load.

The Excel spreadsheets are displayed in the Data Load Input column. Click Refresh to view the latest Excel spreadsheets.

Task 4: To start the initial data load from BMC Helix Innovation Studio

  1. Log in to BMC Helix Innovation Studio.

  2. On the Workspace tab, click the Data Management Console application. 

  3. Click Visit Deployed Application > Data Load. 

  4. Select the Excel spreadsheet that you want to process, and click Run Data Load to trigger the data load process. 

You must trigger the data load in the recommended sequence.

All the Foundation data is processed from Excel spreadsheets in chunks of 100 rows. If there is any error in any one of the 100 rows, each remaining row from the chunk is processed individually.

After the data load is completed, the processed spreadsheets are displayed in the Data Load Result column in the Data Management Console, and the processing status is displayed in the Status column beside each spreadsheet.

Task 5: To confirm that out-of-the-box Foundation data is loaded successfully to BMC Helix Innovation Studio

  1. In BMC Helix Innovation Studio, click Workspace > Data Management Console > Visit Deployed Application

  2. From the Data Load Result column, click the Download icon  beside the spreadsheet that displays Processed with Errors status.

    In the spreadsheeet, the Data Load Result column contains the status spreadsheet that is automatically created for every load process.

    Note

    If the Foundation data is not processed and displays an Errored status, resolve the issue by peforming the workaround steps specified in Troubleshooting Foundation data issues.

  3. In the IT Service Mangement Console, select the Data Loaded and Verified check box.

Task 6: To confirm that Foundation data is loaded successfully to BMC Helix Innovation Studio

You must confirm that Foundation data is successfully loaded by verifying that the trasaction audits are processed. 

  1. In BMC Helix Innovation Studio, click Administration > Foundation Data > ITSM Foundation Data SYNC > Transaction Audits.
  2. On the ITSM Synchronized Foundation Data page, filter the grid by Status: Unprocessed.
    Wait till all the transaction audits are processed.

You must proceed to load Remedy ITSM Foundation associations only after verifying that the out-of-the-box and custom Foundation data is loaded successfully.
