Updating spreadsheets with Foundation data

After downloading the spreadsheet, you can update it with relevant Foundation data. You must update the spreadsheets in a specific format so that your Foundation data is validated for further processing. After you update the Excel spreadsheets with relevant Foundation data, you can upload them into BMC Helix Platform.

The elements in the record data illustration and the user actions are explained in the following table:

Tab

Indicates the Foundation data type. For example, to enter details of employees in your organization, use the Employee tab. BMC Helix Platform processes the data according to the sequence of the tabs.

Enter the Foundation data starting from the first tab in the spreadsheet.
First row

Indicates the name of the record definition or the association definition to which the Foundation data is associated.

The information is prepopulated, and BMC Helix Platform creates the Foundation data for the record that is specified in this row.

Do not edit this field.

Second and third rows

Indicates the instructions for entering the Foundation data. The data from these rows is not processed or loaded to BMC Helix Platform.

Do not add any Foundation data in this row.
Fourth row

Indicates the following items:

  • Example values for the Foundation data.
  • Mandatory columns that are highlighted in green.

The data from this row is not processed or loaded to BMC Helix Platform.

Do not add any Foundation data in this row.
Fifth row onwards

Indicates the Foundation data that must be processed and loaded to BMC Helix Platform.

Enter the relevant Foundation data from the 5th row on.

Notes:

  • If your Foundation data has fields with the same field name in the template, you must specify the field ID.
  • If you leave the cell blank, the cell will not be processed for data load.
  • If you do not want to provide any data for a cell, enter $EMPTY$ in the cell.
  • To set a cell value as a null value, such as for a Create operation, or reset the cell value to null, such as for an Update operation, enter $NULL$ in the cell.
  • To add a ZIP folder that contains profile picture of the employees, specify the file location and the file name in the Person Image column. For example, profilepic/jsmith_4.jpg. The ZIP folder must contain a single .xlsx file and can contain other file types such as .png and so on.
First column

Indicates the action for loading the data.

To load record data, you can specify the action as Create, Update, or Delete. 

To load association data, you can specify the action as Associate or Disassociate.

Note: Do not delete this column, or the data will not be processed.

Second column

Indicates the status of the data load operation. This column is a placeholder. After the Foundation data is processed, the status of the data load is automatically updated in the column.

Do not add any information or delete this column.
After you update the template spreadsheets, you upload the updated spreadsheets to BMC Helix Platform.
