Running the Foundation data load process

After you upload the updated spreadsheets to BMC Helix Platform, you can run the data load job to process and load the Foundation data from the spreadsheets to BMC Helix Platform.

The following image shows the process of loading the Foundation data in bulk:

To run the data load process  

  1. Log in to BMC Helix Innovation Studio and navigate to the Workspace tab.
  2. Click the Data Management Console application. 

  3. Click Visit Deployed Application

  4. Click Import.
  5. Select the uploaded file that you want to process, and click Load Data to trigger the data load process. 

    You can select multiple files for processing at one time; each file is considered a separate job and is processed individually. 

    Warning

    The data load operation is memory intensive and any uploads that run longer than an hour are not processed. Make sure that you upload the data in smaller batches and then run the data jobs for each spreadsheet.

A list of template spreadsheets and their data process status is displayed as shown in the following image: 

After the process is completed, the status of the process is displayed for each spreadsheet on the Status column. The status can be either of the following:

  • New
  • Processing
  • Processed
  • Errored
  • Processed with Errors
  • Queued
  • Stopping
  • Stopped
  • Rollover Stopped
  • Upgrade Stopped

You can also view the status in the processed spreadsheet. On the Import UI, from the Data Load Result column, click icon for the processed spreadsheet that you want to view.

The spreadsheet is downloaded to the default download location of your web browser. The Data Load Result column contains the status spreadsheet that is automatically created for every load process. 

The following image displays an example of a processed spreadsheet that is created automatically after the processing is completed:

The following table provides information about the statuses available in the processed spreadsheet:

The status can be either of the following:

  • Processed
  • Errored
  • Skipped
Status column

Provides additional information about processing status.

This column is appended automatically at the end of the sheet for every tab.

The data validations and formatting is not preserved in the processed spreadsheet. Therefore, to resolve the errors, you must make the changes in the spreadsheet, upload it to BMC Helix Platform, and then run the processing job again.

The following details are displayed for a Processed operation:

Record Instance created with RecordId EMPID1

The following example shows the details for an Errored operation:

The following example shows the details for a Skipped operation:

Bulk Data Load processing failed for row number 5. Failure message [ERROR (307): Required field can not be blank.; com.bmc.arsys.rx.foundation:Employee : Last Name, WARNING (52): The field is a core system field and cannot be changed; 1]

To archive the spreadsheets

  1. Log in to BMC Helix Innovation Studio and navigate to the Workspace tab. 
  2. Click the Data Management Console application. 
    The details for Data Management Console application are displayed.

  3. Click Visit Deployed Application.
  4. Click Import.

  5. Select the file that you want to archive, and click Archive.

  6. To view all the archived files, click Filter, select Archive File > True.
