Reviewing the hidden custom HTML fields

This troubleshooting topic is about reviewing the custom HTML fields after migrating to FootPrints version 12.0.

Description

The following table describes the Custom HTML fields in FootPrints 11.0 version and version 12.0:

Custom HTML field, Form Designer, User Roles – Custom Field Permissions

  • The Custom HTML field type is a form control.
  • From the Form Designer, you can configure permissions to show or hide a field on the form.
  • FootPrints version 11.0 has at least one Custom HTML field, which some users might not be able to see after migrating.

The following image displays Custom HTML properties.

HTML/Code Control form control, Rich Text field, Roles – Field Permissions

  • The HTML/Code Control form control does not have permissions associated with it and the permissions are not migrated.
  • This might prevent some users from viewing this type of fields.

Resolution

To resolve this issue, review FootPrints version 11.0 form and roles, configuration and business needs for hiding the Custom HTML for particular roles. The following points guide you to manage permissions to review Custom HTML fields in FootPrints version 12.0.

Note: Review the forms and verify that the HTML/Code Control is displayed

If the Custom HTML field is hidden for all customers and all agents in FootPrints version 11.0 and you used default (Customer Default and Agent Default) permission in the Form Designer

Remove the field from the form:

  1. To edit the Customer Web Form, navigate to 
    Administration > Workspaces > workspace name > Record Definitions > (item type) > Forms > Customer Web Form.
  2. Remove the HTML/Code Control from the form.
  3. Save the form.
  4. Click Save and Publish to make the form available.
  5. Verify that the HTML/Code Control appears on the form as expected for your various roles.
If you want to show or hide the FootPrints version 11.0 Custom HTML control to users of specific roles
  1. Create a Rich Text type field:
    1. Navigate to Administration > Workspaces > (Workspace) > Record Definitions > (Ticket) > Fields.
    2. Edit the field and set field permissions to Read Only.
    3. Enter a Default Value for the field.
      Alternatively, insert or copy the desired text based on FootPrints version 11.0 Custom HTML.
    4. Click Save.
  2. Place the field on the on the appropriate forms:
    1. Navigate to Administration > Workspaces > (Workspace) > Record Definitions > (Ticket) > Forms > Agent Web.
    2. From the Fields section, drag and drop the new field to the form.
    3. Click Save.
  3. To define field permissions for your roles, navigate to Administration > Roles > (Role) > Field Permissions.
  4. Verify that the Rich Text type field is displayed on the form as expected for your various roles.
