Configuring BMC FootPrints Sync

BMC FootPrints Sync provides a way for agents to synchronize appointments stored in BMC FootPrints Service Core. You configure Sync settings for the system and then agents configure synchronization with their Exchange account.

Much of the configuration is performed in Exchange. The following instructions explain how to enable communication with Exchange from BMC FootPrints Service Core.

If your users configure synchronization for "both ways" (FootPrints to Exchange and Exchange to FootPrints), the system synchronizes items from FootPrints to Exchange first and then from Exchange to FootPrints. This means if an appointment is changed in FootPrints and then synchronized with Exchange, any changes made previously in Exchange to the same appointment could be overwritten by FootPrints data.

The URLs for your personal calendars are shown at the bottom of the FootPrints Sync page.

Prerequisites

  • Microsoft Exchange 2007 Service Pack 2 or later
  • An Exchange Administrator account with:
    • Impersonation rights configured for the user accounts
    • Exchange Web Services

To configure BMC FootPrints Sync

  1. Click the Administration tab.
  2. In the System Management section, click Integration > FootPrints Sync.
    The FootPrints Sync page appears.
  3. In the Configure Exchange Options section:
    1. Select Enable Exchange Sync.
    2. In the Exchange Credentials fields, enter the Exchange user ID and password for the account.
    3. Click Test Credentials.
      A message appear, stating whether the test was successful.
    4. (Optional) In the Synchronization Direction field, select how to synchronize data between FootPrints and Exchange.
      The default is Synchronize Both Ways.
    5. (Optional) In the Auto Synchronization field, select when synchronization should occur.
      The default is No auto sync.
  4. In the Appointments Sync section, to synchronize appointment data, select Enable Appointments Sync.
  5. In the FootPrints to Exchange section:
    1. (Optional) Select to synchronize appointments in both your Personal and Workspace calendars.
      The default is to synchronize appointments only for your Personal calendar.
    2. (Optional) Clear the Sync Appointments check box under Auto sync on Create/Update.
  6. In the Exchange to FootPrints section:
    1. (Optional) In the Private Appointments field, select to create private appointments in both your Personal and Workspace calendars.
      The default is to create private appointments only for your Personal calendar.
    2. (Optional) In the Public Appointments field, select to create public appointments in both your Personal and Workspace calendars.
      The default is to create public appointments only for your Personal calendar.
    3. In the Select Workspace Calendar field, select the workspace calendar that you want to synchronize.
  7. Click Save.
    Configuration is completed.
