Managing licenses

This page provides information on the following topics:

System Administrators can manage the licenses for their environment, view license details and usage, request new licenses and upload them, and manage license assignment.

The following license information appears on the Manage License page:

  • General information:
    • Issued to: Company name and address.
    • Serial number
    • Account number
    • Expires: License expiration date.
    • Need help expanding your license: Contact Us link for contacting BMC representatives.
    • Serial Numbers, Licenses and Support Information: Link to additional information on the Support site. You must log in with your Support ID to view this information.
  • License details: Lists which license entitlements are Enabled or Owned, the number of Owned licenses, and other relevant information.

User access is tracked (including successful logins and denials due to lack of license availability), allowing System Administrators to gauge license usage over time. For more information, see Viewing login attempts.

If your license expires before you have downloaded a new one, you can download a 30-day trial license and replace it when you receive your new license. For more information, see To view system license information.

License assignment

Agents can be assigned Fixed or Concurrent Agent licenses but System Administrators must be assigned a Fixed Agent license. You can only assign as many fixed users as the number of fixed licenses available but you can create an unlimited number of concurrent users.

A Customer license is required to enable incoming email for external users to submit and track requests, search knowledge bases, and so on.

Changing license types

If you move from fixed licenses to concurrent licenses, you must change the license setting for each agent affected by the change. For more information, see Editing user accounts.

To view system license information

  1. Click the Administration tab.
  2. In the System Management section, click System Settings > Manage License.
    The Manage License page appears.

  3. Perform the necessary tasks, using the instructions provided in the following sections.

To obtain a license

You can obtain licenses from the Manage License page in the application or download them from the Support site without logging into FootPrints.

  1. Click the Administration tab.
  2. In the System Management section, click System Settings > Manage License.
    The Manage License page appears.
  3. Next to Need help expanding your license, click Contact Us.
    The Contact BMC Web page opens.

  4. Follow the instructions on that page and then proceed with To load a license.

To load a license

  1. Click the Administration tab.
  2. In the System Management section, click System Settings > Manage License.
  3. Click Load License.
    The File Upload dialog box appears. If your license has expired, a link appears for downloading a 30-day trial license. Click the here link to download a trial license.
  4. Navigate to the license file and open it.
    The license is uploaded. If no workflow process is defined in your environment, the Create a new Business Process page appears.
  5. (Optional) Select a Business Process template to help you get started with working in FootPrints.

To view license usage for a user

  1. Click the Administration tab.
  2. In the System Management section, click System Settings > Manage License.
  3. Next to Named Technicians or Concurrent Technicians, click Details.
    The Users page appears in a separate tab, showing a list of users in that category, along with the following user information: User name, Name, System role, License Type, User Environment (Containers such as Workspaces), Logged In, Last Activity, and Status.

To edit a user's license type

  1. Click the Administration tab.
  2. In the User Management section, click Users.
  3. Select the user that you want to modify and click Edit.
    For more information on editing users, see Editing user accounts.
  4. In the License Type field, select the appropriate license type.
  5. Click Save.
    The new license type is assigned to the selected user.
