Creating data files for importing users


You can import user data into workspaces in FootPrints, specifying which workspace and user role each user should be assigned by including the names for the workspaces, roles, and teams are in the data file.

You can name fields to suit your working environment. When you create the Import task, you select fields from your data file to map to the corresponding FootPrints fields.

You cannot import users for the Assignment field in the following format:Team.User

Prerequisites

  • User NameName, and Email are required fields for all user types. If you use FootPrints Internal authentication (alone or in addition to other methods), the Password field is also required.
  • An external authentication method is configured. This is required for importing from any LDAP source even if you are using FootPrints internal authentication for other purposes.

Sample files are provided for simple and complex user records.

Assigning workspaces

To assign a user to one or more workspaces during import, you must include the workspace names in the user's record in the following format:

Service Desk:HR Service:Employee Service

The workspace names are separated by colons.

Assigning roles

To assign a user to one or more roles during import, you must include the workspace names and role names in the user's record in the following format:

Service Desk;Agent:HR Service;NonExempt FTE:Employee Service;US FTE

The workspace name and related role name are separated by a semicolon. Additional workspace/role assignments are separated by colons.

Assigning teams

To assign a user to one or more teams during import, you must include the team names in the user's record in the following format:

Service Desk;Teamname1

The workspace name and team name are separated by a semicolon. Additional workspace/team assignments are separated by colons.

Assigning users to multiple workspaces, roles, or teams

To assign a user to multiple workspaces, roles, or teams, you must include the users' name in the following format:

Workspace

WS1:WS2:WS3

Container roles

WS1;Role1:WS2;Role2:WS3;Role3

Teams

WS1;Team1:WS1;Team2:WS2;Team3:WS3;Team4

Note

To select multiple users you must use a colon (:) as the separator for column items such as containers, roles, and teams. For example, Service Desk:HR and Service:Employee Service. Use a semicolon (;) as an additional separator for major items such as container;role and container;team.
