Adding a privacy notice for your end users

BMC Digital Workplace provides the infrastructure for creating a privacy notice for your end users. Use this notice to share details about the cookies used by the application and details about other data that you might collect or analyze, based on the location of your end users. This notice is displayed as a popup when an end user first logs in.

Note

BMC Digital Workplace leverages browser cookies to display the privacy notice pop-up to end users. This might cause the pop-up to display again if users clear the browser cookies or access the application using a different browser or computer.

To add a privacy notice and detailed privacy policy

  1. Log in to the BMC Digital Workplace Admin console, and navigate to Configuration > Privacy.
  2. If the option is disabled, turn on the Enable toggle.
  3. Select the Privacy notice tab, and enter the following details:

    • Select localeSelect the language for which you want to create the privacy notice.
    • TitleType a title for the privacy notice, for example, User agreement.
    • Privacy noticeEnter the text for your privacy notice, and (optionally) link to the detailed privacy policy.

      Tip

      Include additional details in the privacy notice as required as per the policy of your organization, and the region to which your end users belong.

    • Confirmation checkbox—Type the text to be displayed with the Confirmation check box, for example: 
      To improve your experience, we use cookies that are strictly necessary to remember login details and provide a secure login. We may also use analytics cookies that collect statistics to optimize site functionality. If you agree to the use of analytics cookies, select this check box. To learn more about our use of cookies, please read our Privacy policy.
    • Continue buttonType the text that will be displayed on the button that your users must click to use this application, for example, Agree and continue.
  4. Select the Privacy policy tab, and add the information displayed below. 

    Note

    All cookies listed are samples that were observed and may change depending on the configuration in BMC Digital Workplace. This includes the duration for how long the cookie will remain before it expires.

  5. Click Save

What is a cookie?

Register anonymous statistical data on player settings for embedded YouTube videos. It is used to store how many times the video is displayed and what settings are used for playback.

How to control and delete cookies through your browser

The ability to enable, disable, or delete cookies can be completed at the browser level. To do this, follow the instructions provided by your browser (usually located within the “Help”, “Tools,” or “Edit” facility). Disabling a cookie or category of cookie does not delete the cookie from your browser. You will need to do this yourself from within your browser.
