Designing a simple workflow

Use the visual process workflow designer in BMC Digital Workplace Catalog to create a fulfillment workflow with a single activity that passes information collected from a user when the service is requested to an external system.

Before you begin

Make sure there is a connection configured for the external service that you plan to use in the workflow, as described in Configuring service connectors.

To create a workflow that triggers a single action

Scenario: Design a workflow that sends information provided by a user at the time of a request to an external system; for example, to provide credentials to create an account.

  1. Start by creating a new workflow.
  2. Enter a name: Create a Box user account.
  3. Drag a Create Box User element onto the canvas.
  4. Draw a sequence flow to connect the Start element to the Create Box User element, and another to the End element.

  5. Click the canvas to view the Process Information.

  6. Under the input map, click + Add Variable and create two process variables:

    • Full name
    • Email address

    These variables will be attached to a questions form to receive information from the user at the time of the request.
    (Optional) Add help text to guide users when requesting the service.

  7. Click the Create Box User element.

  8. Open the expression builder.

  9. Click the plus beside the variables to insert into the Login and Name fields. Use < Prev and Next > to switch between fields:

  10. Click Apply.

  11. When the process is complete without validation issues, click Save do deploy the workflow.
