Creating multiuser request questionnaires
Catalog administrators, internal service supplier administrators, and internal service suppliers create multiuser request questionnaires for services that an end user can request on behalf of (OBO) multiple users. For information about multiuser services, see Requesting services on behalf of other users.
An end user can submit a single multiuser request for up to 20 users. In addition to this limitation, catalog administrators can set a default limit for all new multiuser request questionnaires. For details, see Setting the default limit for OBO users in a multiuser request questionnaire.
Before you begin
- Create a service as described in Adding and updating services.
- Create a workflow, and associate the workflow with the service as described in Attaching workflow to a service.
To create a multiuser request questionnaire
- In BMC Digital Workplace Catalog, go to Services > Services.
- Select the service for which you want to create a questionnaire.
- Click Edit next to Workflow.
- Click Add next to Questions.
- From the Actions list, select Create multi-user request.
- Configure a multiuser request questionnaire as required, and save it.
To convert a single-user request questionnaire to a multiuser request questionnaire
You can convert a single-user request questionnaire to a multiuser request questionnaire. Similarly, you can convert a multiuser request questionnaire to a single-user request questionnaire.
In BMC Digital Workplace Catalog, go to Services > Services.
Select the service with the questionnaire that you want to update.
- Click Edit next to Workflow.
- Click Add next to Questions.
- In the Questionnaire Library, select a single-user request questionnaire.
- From the Actions menu, select Copy as multiuser request.
- Configure a multiuser request questionnaire as required, and save it.
To configure a multiuser request questionnaire
Open a multi-user questionnaire in the Questions Designer.
- (Optional) To modify the default multiuser request limit, select a value from the User limit list.
To collect unique answers from each OBO user, select the Page questions collect unique answers from each user check box.
A page with unique answers will be hidden for the requester at checkout.
To collect common answers for all users, leave the check box unselected.
Tip
Each page in a questionnaire has the Page questions collect unique answers from each user check box unselected by default. If some answers are common, and other answers are unique, create separate pages for common and unique answers.
Click Save.
- In the Name field, enter a descriptive name for the questionnaire.
- To attach the added questionnaire to the service, select the questionnaire, and click Save.
Click Save.
